    POSITION SUMMARY:
    The Instructional Materials Specialist employee is responsible for packaging, electronic loading, and distribution of all instructional materials in the Federal Way Public Schools. This position also assists with technical, statistical, and general support for the Teaching for Learning (TFL) department. The Instructional Materials Specialist promotes equitable educational opportunities to culturally relevant instruction and material management through ensuring scholars and teachers have access and opportunity to materials; provides support/customer service to teachers and staff; supervises and assists in-district production and distribution of science kits, lesson plan packages and curricular materials supporting classroom teachers; organizes and maintains overall science center database; purchases materials. This may include the support of online testing as well as paper and pencil, packaging, storing, accounting, and delivering assessment materials. The Instructional Materials Specialist must be able to work independently and cooperatively with minimum direct supervision.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. This list is meant to be representative, not exhaustive.   • Process requests and returns of instructional materials from all schools using the Destiny system
  • Inventory and barcode textbooks and other related materials
  • Manage assessments, arranging for the distribution and collection of tests, and organizing and implementing the return and quality control of the testing and instructional materials
  • Coordinate with the Teaching for Learning department regarding the purchasing and management of consumable materials used in buildings
  • Manage distribution of curriculum materials and resources to buildings
  • Answer inquiries and maintain team relationships with district staff
  • Maintain electronic and hard copy records for department
  • Coordinate the production, packaging, and delivery of science kits and lessons and dispersing inventory of requested single supplies
  • Maintain quality control and fidelity of science kits
  • Modify science kits/packaging to address safety and other issues.
  • Manage science kit distribution and tracking procedures utilizing a variety of databases, spreadsheet and/or inventory management programs, computer and web based programs, and written records.
  • Coordinate Science Center calendar for scheduling of kits, materials and live organisms in classrooms.
  • Monitor use of science kits by teachers and track kit rotation.
  • Instruct and train Science Center employees in kit assembly/refurbishment
  • Assign work to paraeducators and volunteers to support instructional management on a priority basis
  • Supervise and evaluate paraeducators
  • Obtain prices, order supplies, receive and store materials for Science Center. Check shipments against invoices; maintain just-in-time inventory. Manage distribution of kit requiring live organisms based on kit assignment and teacher schedule. Under the direction of the Science Facilitators, maintain salmon tanks in buildings to ensure functionality.
  • Provide information for use in budget development.
  • Answer phone inquiries regarding instructional materials issues (how it works, different ways to do it, missing materials, problems with lessons, safety issues, any complaints).
  • Communicate effectively with content facilitators on routine basis.
  • OTHER RESPONSIBILITIES
  • Determine need for, obtain, and supervise substitute help for projects
  • Support assessment department work related to Common Core, Smarter Balanced, TPEP, and other major district, state, or national initiatives
  • Performs related duties consistent with the scope and intent of the position
  • MINIMUM QUALIFICATIONS
    Education and Experience
    AA degree in related field or equivalent. (Additional experience in a related field may substitute for the educational requirement on a year-for-year basis)
    Two years of work experience in coordinating, preparing, packaging, and distribution of materials

    ADDITIONAL REQUIREMENTS:
    Basic knowledge of Microsoft Word and Excel
    Positive evaluations

    PREFERRED QUALIFICATIONS:
    BS/BA Degree
    Knowledge of science kit curriculum

    CONDITION OF EMPLOYMENT
    Criminal background clearance
    Washington state driver's license
    Airbrake endorsement or willingness to acquire within 3 months of hire

    KNOWLEDGE OF:
    Computer spreadsheets, database management, or statistical information. Best practices in shipping, receiving, inventory of materials

    Accurately use numbers as related to evaluation and statistical tasks. Work well under pressure and communicate concisely with individuals via the telephone, in written document or face to face. Prioritize, coordinate activities, and meet inflexible deadlines. Follow written and oral directions and instructions.

    While performing the duties of this job, the employee will regularly stand and walk, bend neck and back, stoop, squat, kneel, demonstrate good hand eye coordination and fine finger dexterity, use hands for repetitive grasping, and pushing/pulling. The employee will constantly stand for extended periods of time. The employee may occasionally be required to climb stairs/ladder, lift and reach overhead, and lift/carry. The employee must constantly lift/carry up to 10 pounds and must frequently lift /carry up to 50 pounds. The employee is occasionally required to push/pull a maximum weight of 100 pounds.

    WORKING CONDITIONS
    The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee regularly works in indoor conditions and intermittently works near video display. The employee occasionally exposed to outdoor weather conditions. The noise level in the work environment is usually moderate. Interruptions are common. May experience some exposure to angry or frustrated individuals, typically in a school classroom environment.

    WORK SCHEDULE
    Work schedule typically is Monday through Friday, day shift or as otherwise determined by the district. The employee will occasionally work flexible hours depending upon nature of testing schedules. This is a 12 month position.
