Job summary

Responsibilities
- Provide operational and administrative support to the Vice President and Directors to ensure smooth office operations.
- Manage departmental documentation, including electronic and paper filing systems.
- Lead and mentor Administrative Assistants, offering guidance and back-up support.
- Serve as project manager for department initiatives—tracking tasks, preparing executive updates, and ensuring on-time delivery.
- Draft and edit reports, scopes of work, and other department communications with minimal oversight.
- Maintain and update departmental content across the client's intranet, internet, and shared drives.
- Compile and distribute weekly team updates and major reports
- Act as the Workday training Subject Matter Expert (SME) for the department.
- Develop and maintain databases for contacts, stakeholders, donated items, and community partnerships.
- Assist in planning and executing events, meetings, and community-based programs.
- Manage department budgets, expense reports, supply ordering, and travel arrangements.
- Provide high-quality written communication, including correspondence, presentations, meeting agendas, and minutes.
- Screen inquiries and issues, escalating as appropriate, while maintaining confidentiality and professionalism.
Qualifications
- Education: Bachelor's degree in a related field or equivalent combination of education and experience.
- Experience: Previous experience supporting executives (Vice President level or above) preferred.
- Strong background in project management, operations, or executive support.
- Demonstrated proficiency with MS Office (Word, Excel, PowerPoint, Access).
- Knowledge of MS Project, Adobe PDF, or Photoshop is a plus.
- Ability to multitask, prioritize competing demands, and deliver results with minimal supervision.
- Excellent verbal and written communication skills, with strong attention to detail.
- High level of integrity, judgment, and discretion in handling confidential matters.
- Valid Georgia driver's license required.
