    Job Summary

    The Social Services Intake Technician is the first point of contact for new and existing clients (un'inas). The Technician is responsible for completing intakes and providing a list of required documentation to all new un'inas seeking services. This position has a basic knowledge of all Social Services programs in order to make the best referral possible both internally and externally.

    Essential Functions

    • Responsible for opening/closing the building and maintaining cleanliness of the reception area.
    • Greet each un'ina upon entry into the program; provide a list of all required documentation for a comprehensive intake into Social Services.
    • Route all incoming phone calls to the appropriate person/department.
    • Maintain and update all program forms and resources on the data management system.
    • Collaborate with the Social Service Specialists in scheduling and completing un'ina intakes and provide warm transfers to other programs within the Tribe or within the community as required.
    • Document all case notes to the data management system for each un'ina contact.
    • Familiarity with each sub-specialty within the Tribe's Social Services programs.
    • Collaborate with Social Services Specialists to identify un'ina needs for general, energy, childcare and burial assistance.
    • Provide clerical assistance/event planning to Social Services Supervisor/Customer Service Associate and Department as needed.
    • Responsible for customer service and quality assurance in the Social Services Programs, and communication of conflicts or potential conflicts to the Social Services Supervisor.
    • Ensure workplace safety guidelines are followed for staff, vendors and un'inas.
    • Maintain un'ina and family confidentiality.
    • Responsible for entering data into the following logs and dashboard: intake, transportation & food cache.
    • Active member of the Emergency Response Team for the Na'ini Building.
    • Responsible for inventory, maintenance and ordering of food cache, employee break supplies, office and equipment supplies and maintenance calls.
    • Facilitate meetings and minutes for Department/Team.
    • Responsible for accounts payable for data entry into Reqlogic, ability to reconcile and distribute accordingly.
    • Responsible for all calendars for each department/vehicles and visitation room coordination with Grants and Procurement for vehicle maintenance.
    • Coordinate all essential functions with the Customer Service Associate I.
    • Ensures compliance with Tribal, federal, state, and local employment laws and regulations, Tribal policies and TERO ordinance

    OSHA Categories

    Qualifications

    Education

    • High School Education or GED.

    Experience

    • One to three years of clerical experience.
    • One to three years of customer service experience.
    • Experience with client intake and application processing preferred.
    • Knowledge and experience working with Alaska Native/American Indian people preferred.

    License/Certification

    • Alaska Driver's License and must remain insurable under the Tribe's policy.

    Special Skills

    • Knowledge of General, Energy, Childcare and Burial Assistance.
    • Knowledge of educational opportunities in the community.
    • Knowledge of drug and alcohol abuse and treatment options.
    • Knowledge and demonstration of Dena'ina Values.
    • Understanding of domestic violence/sexual assault and child abuse.
    • Willingness to assist Social Services Specialists.
    • Friendly & professional communication skills.
    • Excellent organizational skills.

    This position is a Covered Position subject to all requirements of the Alaska Barrier Crimes Act (ABCA) and to the Indian Child Protection and Family Violence Prevention Act, (ICPA). ABCA and ICPA requirements apply and must be complied with at all times in order to remain in the position.
