- Supervising the Office Coordinator by providing coaching, guidance, training, and performance oversight to support effective operations.
- Leading front desk operations at Solid Ground's main East Metro Place office location while supporting inventory and operational needs across multiple scattered-site locations.
- Developing, implementing, and maintaining scalable front desk procedures, workflows, and training resources for staff and volunteers.
- Serving as the primary escalation point of contact for complex front desk, safety, or visitor situations.
- Ensuring office environments remain organized, accessible, welcoming, and professionally maintained.
- Overseeing incoming and outgoing mail, deliveries, and supply coordination across organizational sites.
- Managing front desk coverage scheduling in partnership with the Office Coordinator and providing coverage as operationally needed.
- Managing the organization's main phone line, communication workflows, and general information email inbox to ensure timely and consistent responses.
- Owning setup, coordination, and operational logistics for community meetings and events in shared spaces.
- Partnering with the Director of Operations to support safety and security oversight and promote a safe environment for staff, residents, and visitors.
- Managing calendars, scheduling, and meeting logistics for the Executive Director and leadership team as assigned.
- Preparing correspondence, reports, presentations, and meeting materials.
- Supporting Board, leadership, and committee meetings, including agenda preparation, document coordination, meeting notes, and follow-up tracking.
- Tracking and communicating action items and ensuring operational follow-through on leadership initiatives.
- Maintaining confidentiality of sensitive organizational, Board, resident, and personnel information.
- Partnering with the Executive Director to coordinate project tracking and ensure timely follow-through on strategic priorities and initiatives.
- Managing workplace technology logistics in partnership with IT vendors and the Director of Operations.
- Serving as the main point of contact for vendor relationships and service logistics.
- Developing and maintaining scalable documentation systems and administrative processes that support organizational growth.
- Partnering with the Director of Operations to identify and execute process improvements and operational efficiencies.
- Managing onboarding logistics for new staff, including workspace setup, equipment provisioning, and administrative readiness.
- Managing and tracking internal events, training, and operational projects to ensure effective planning, communication, and follow-through.
- Managing employee performance, training, and development; communicating expectations and supporting professional growth.
- You have an associate or bachelor's degree in business administration, human services, nonprofit management, or a related field; equivalent experience is considered.
- You have 3+ years of experience in office management, administrative operations, or executive support roles, preferably in a fast-paced environment.
- You have prior supervisory or leadership experience.
- You have experience working in nonprofit or community-based organizations.
- You demonstrate a commitment to diversity, equity, and inclusion and have the ability to work effectively with diverse communities.
- You possess strong organizational and project coordination skills.
- You have the ability to balance multiple priorities with an appropriate sense of urgency while maintaining independent follow-through and a drive for results.

- You are proficient with Microsoft Office Suite, Google Workspace, and video conferencing tools.
- You have experience coordinating workplace systems, supplies, or technology across multiple locations.
- You have the ability to maintain composure and professionalism in high-traffic or emotionally charged environments.
- You are comfortable working in an environment supporting families experiencing housing instability.
- You have the ability to create systems and document internal processes to drive efficiencies.
- You are a self-starter with high energy who can work independently without a high level of supervision.
- You have a valid driver's license, access to reliable transportation, and the ability to meet Solid Ground's driving record requirements. Job Summary
Solid Ground is hiring an Office Manager to provide operational leadership for workplace systems, front desk operations, and administrative coordination for Solid Ground. This role supervises the Office Coordinator and serves as a central hub supporting staff, leadership, residents, and community partners by ensuring consistent, organized, and effective daily operations. This position requires in-person work Monday-Friday to support East Metro Place operations.
