    Overview

    Scope:

    The Payroll/AP Specialist will handle the day-to-day operations of payroll and accounts payable. This individual must be able to continually meet critical weekly deadlines while supporting and resolving payroll issues as they may arise. This position will also handle accounts payable and issue payments as needed for the company. The ideal candidate must have ADP WFN experience and be able to generate and process all payroll functions as required.

    Duties and Responsibilities:

  • Process bi-weekly payroll, reports, reconciliations, payroll taxes, year-end procedures and W-2s for multi-state employees.
  • Comply with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
  • Database management & administrative duties as necessary.
  • Document payroll guidelines and processing procedures.
  • Continually identifies process and automation opportunities to reduce manual processes and ensure data accuracy.
  • Liaison with ADP regarding matters related to payroll.
  • Prepare standard, custom and ad-hoc management reports (gross payroll, hours worked, overtime, vacation accrual, tax deductions, benefit deductions, 401K etc.) on a regular and as-needed basis.
  • Create and distribute 401K, management reports, and other payroll reports after each payroll.
  • Communicates with employees and leadership on payroll related matters.
  • Process and code invoices accurately and ensuring timely entry into the accounting system.
  • Communication with vendors to resolve discrepancies, answer inquiries, and maintain positive relationships over email and over the phone.
  • Organize and maintain accounts payable records in an organized manner.
  • Collaborate with the accounting team to support month-end closing and related tasks.
  • Contributes to projects as assigned.
  • Qualifications:

  • An Associate's Degree in Business, Finance or Accounting is preferred.
  • Attention to detail and excellent organizational skills.
  • Excellent interpersonal, verbal, written communication skills and superior phone presence.
  • Ability to troubleshoot problems and provide exceptional customer service.
  • Ability to work independently.
  • Ability to maintain confidentiality and make sound judgments.
  • 3+ years of payroll and/or benefits experience with ADP (Preferred)
  • Strong knowledge of federal and state employment legislation (Preferred)
  • 1+ years of accounts payable experience with automated processing.
  • Microsoft Dynamics GP experience a plus.
  • Microsoft Office - Excel, Word, PowerPoint, and Outlook (Preferred)
