    JOB SUMMARY

    Responsible for providing administrative support to the ACES-NRCS Team. This position will work closely with the ACES-NRCS Program Specialist and will help with all functions to efficiently process applicants into NRCS ACES Positions, ensuring program compliance that adheres to company, federal, and state laws and regulations Perform all administrative functions associated therewith. This position also assists the Program Director, Program Manager, and Assistant Program Manager, and acts as back up for Recruiters, and Program Specialists as required.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Program Support: Performs/supports accurate electronic filing system maintenance and set up for Enrollee recordkeeping in SharePoint, including confirming all required documentation received is valid and complete. Ensure all actions are processed in the Enrollee Management System (EMS). Attend virtual and in-person meetings and presentations as required. Actively participate in work groups to provide input and keep apprised of changes.
    • Customer Service: Demonstrate a high level of customer service to internal and external clients at all levels to develop strong relationships to foster program growth and efficiency. Answer program-related questions and/or direct calls and emails to appropriate staff members.
    • Support for Western Field Office (WFO): Office and IT supply coordination/management; file organization, order outreach/marketing supplies, monitor shredding schedule, work with building property management for office issues, facilitate shipping needs.
    • Travel: Occasional travel to satisfy the duties of the position including out of State events, conferences, and our annual NEW Solutions staff meetings at HQ located in Arlington VA.

    Hybrid Work: The position requires one to work 75% time physically in the office (preferably on Tuesday, Wednesday, and Thursday) and remotely on other two days.

    QUALIFICATIONS AND SKILLS

    • Demonstrated program recruitment and administration experience.
    • Ability to communicate effectively in person, by phone, and email with individuals at all levels including enrollees, Monitors, Staff with solid writing skills.
    • Knowledge concerning personnel policy along with federal and state employment and recruiting laws and practices.
    • Time management, organizational, and interpersonal skills.
    • Upbeat attitude, superior customer service skills, and the ability to research and respond to personnel questions as they arise.
    • Proficiency in Microsoft Office Suite skills and ability to easily learn to use specialized software packages.

    EDUCATION AND EXPERIENCE

    • Associate's degree
    • 5 - 7 Years
    • Education and experience requirements may be substituted on a year-for-year basis by relevant, demonstrated, progressive, and directly related education/work experience.

    PHYSICAL REQUIREMENTS

    Physical requirements include the dexterity to reach, stand, climb, move, finger keyboards, lift light loads, and the ability to also function in a stationary position.
