Founded in 1999, Commonwealth Equipment is a top provider of material processing heavy machinery, catering to clients from New York to South Carolina. The company has around sixty team members and four physical locations, headquartered in Ashley, PA. Our goal is to deliver the highest quality equipment, service, and parts to our customers.

Job Summary

Act as the Service Administrator, collaborating closely with the Regional Parts and Service Manager to manage service operations
Handle service billing and provide administrative assistance for all department needs
Responsible for customer invoicing accuracy and timely updates
Manage south Warranty Claims process from initiation to completion
Serve as the main liaison for warranty issues between customers and manufacturers
Prepare and submit warranty documents efficiently

Duties/Responsibilities

Process service billing and offer administrative support
Supervise work orders and generate daily billing
Track company fleet-service trucks and maintenance
Create customer invoices and issue service techs' purchase orders
Coordinate daily with the Service Manager
Provide warranty assistance to customers, service, and sales departments
Handle records, reconcile and submit warranty claims, and prepare documentation
Work closely with Regional Parts and Service Manager and Regional Aftermarket Manager
Utilize warranty tracking system and review Service Tech work orders
Present warrantable cases to OEM manufacturers

Required Skills/Abilities

Exceptional communication skills, both verbal and written
Proficient in company software usage
Strong analytical and problem-solving abilities
Drive continuous improvement, provide accurate reporting, and draw insights from data

Qualifications, Education, and Experience

US Work authorization required
Associates degree in Business Administration or related field, or equivalent work experience
Minimum of two years in service scheduling, dispatch, or related experience
Comfortable in a fast-paced environment and handling multiple tasks

Compensation and Benefits

$60,000 annual salary
Simple IRA with up to 3% company match
