- Manage accounts and perform weekly and monthly bookkeeping.
- Input all invoices in Paperless for Project Managers' approval.
- Help to reconcile payroll time sheets weekly.
- Set up employee benefits.
- Reconcile credit card expenses monthly.
- Monitor and administer lien releases.
- Maintain accurate cost coding for projects and administration.
- Monitor and process certified payrolls bi-weekly.
- Assist in the preparation of Sales & Use Tax Reports.
- Update weekly check log for AP check runs.
- Fielding communications with clients and vendors, fact-checking, filing, and other duties, as needed.
- Manage receipts for joint checks and coordinate with A/P to pay subcontractors.
- Assist with bank reconciliations.
- Support field operations for administration requests.
- Support and greet visitors as needed.
- Create and maintain filing systems, both electronic and physical.
- Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results
- Ensures organization and clerical accountability.
- Screening phone calls and routing callers to the appropriate party.
- Maintain polite and professional communication via phone, e-mail, and mail.
- Anticipate the needs of others to ensure their seamless and positive experience.
- Handling other office tasks as they are delegated.
- Bilingual in English/Spanish.
- A minimum of a high school diploma or equivalent is required to work as an Accounting Assistant.
- Associate Degree is preferred but not required.
- Accounting Assistant is considered an entry-level position.
- Prior administrative experience is a plus.
- Attention to detail.
- Proficiency with computers and bookkeeping software, strong typing skills.
- Exceptional time management and verbal and written communication skills.
- Familiarity with basic accounting principles.
- Professional manners and a strong ethical code.
- Ability to multitask and remain motivated and positive.
- Commitment to working efficiently and accurately.
- Experience in the construction industry preferred
