    SUMMARY
    The Performing Arts Center & Facilities Rental Coordinator is responsible for the comprehensive management of the District's Performing Arts Center (PAC) and the coordination of rental and community use of all district facilities, including school sites, athletic fields, and other public spaces. This role blends technical and operational oversight of the PAC with district-wide scheduling, rental logistics, and community engagement. Serving as the primary point of contact for both internal and external users, the Coordinator ensures that all facilities especially the high-profile PAC are operated efficiently, safely, and professionally. Key responsibilities include managing event schedules, coordinating facility maintenance, overseeing rental agreements, supporting technical production needs, and ensuring compliance with district policies. The role is essential in maintaining the PAC as a cultural and educational hub while balancing the needs of school programming with community access and engagement.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

    PAC Coordinator Responsibilities:
    • Oversee daily operations of the Performing Arts Center, including scheduling, staffing, and coordination of events.
    • Collaborate with school and district personnel to support curricular and extracurricular performances, assemblies, and meetings.
    • Serve as the primary point of contact for external organizations renting or utilizing the PAC; manage contracts, rental agreements, and fee structures.
    • Supervise technical systems including lighting, sound, staging, and multimedia equipment; ensure proper maintenance, upgrades, and operation.
    • Coordinate custodial and maintenance services to ensure cleanliness, safety, and readiness of the facility for all events.
    • Train and supervise PAC technical staff, including student tech teams, part-time assistants, and volunteers.
    • Ensure compliance with district policies, fire and safety codes, and all relevant local, state, and federal regulations.
    • Maintain a calendar of events and ensure effective communication with stakeholders regarding availability and logistics.
    • Manage the PAC budget and work with district leadership to develop funding strategies for equipment, improvements, and operational needs.
    • Promote the Performing Arts Center as a cultural asset within the community, building positive relationships with local organizations and patrons.
    Arizona Lecture Series - Key Responsibilities
    • Plan, coordinate, and secure engaging speakers for a 12-week lecture series focused on Arizona history, including significant people, places, and events.
    • Design and produce promotional materials such as tickets, brochures, and digital content to market the series effectively.
    • Manage the Arizona Lecture Series mini-grant program, including application review, selection, and reporting processes.
    • Oversee all financial aspects of the program, including the collection and deposit of funds, budget tracking, and financial reporting.
    Facilities Rental Coordinator Responsibilities:
    • Coordinate the use and rental of district facilities for community organizations, nonprofits, private groups, and government entities.
    • Serve as the central point of contact for rental inquiries, availability, applications, and contracts.
    • Maintain and manage the district's facility use calendar.
    • Collaborate with school site staff, custodial/maintenance teams, and the PAC to ensure logistical readiness and staffing coverage for events.
    • Prepare and monitor rental agreements, insurance documentation, and invoicing in compliance with district policies and fee schedules.
    • Conduct site walkthroughs as needed with clients to assess setup needs and expectations.
    • Enforce district rules and regulations regarding facility usage, safety, and conduct.

    • Assist with marketing efforts to promote facility rentals to the broader community.
    • Support emergency scheduling or last-minute changes with professionalism and problem-solving skills.
    EDUCATION and/or EXPERIENCE
    High school diploma or general education degree (GED); and three to five years related experience and/or training; or equivalent combination of education and experience.

    RECOMMENDED EDUCATION/EXPERIENCE
    • Proficiency in operating ETC lighting systems and consoles, including programming and troubleshooting.
    • Experience with Yamaha TF5 digital mixing console for live sound reinforcement and audio system management.
    • Working knowledge of fly systems, stage rigging, and general stage terminology.
    • Familiarity with facility use policies, rental agreements, and customer service practices related to public or community space rentals.
    • Strong organizational and communication skills with experience managing event logistics, calendars, and financial transactions.
    • Experience using scheduling software and digital tools to coordinate multiple facility requests and ensure efficient operations.
    • Must possess AZ Fingerprint Clearance Card with IVP# at time of hire.
    Communication Skills:

    Ability to read and interpret a variety of documents, including safety protocols, operational procedures, and maintenance manuals. Capable of writing clear, routine reports and professional correspondence. Strong verbal communication skills with the ability to present information effectively to groups of staff, stakeholders, or the public.

    Mathematical Skills:

    Proficient in basic arithmetic, including addition, subtraction, multiplication, and division using whole numbers, fractions, and decimals. Able to apply these skills in practical scenarios involving money, weight, volume, and distance.

    Reasoning and Problem-Solving:

    Demonstrates sound judgment and common-sense understanding to follow detailed written or verbal instructions. Able to identify and resolve routine issues involving limited variables within structured settings.

    Employees in this role are regularly exposed to moving mechanical parts, electrical hazards, and potentially hazardous chemicals.
