About the Position
The Events Associate is at the organizational center of Library event use for staff and the public. The Events Associate ensures success of events and user experience at the Library, through coordination of library spaces and equipment.
Primary Responsibilities
- Events Scheduling. Schedules time to consult about and tour facilities at the Main Library with interested clientele. Evaluates and reviews meeting room requests to determine if the Library can meet the needs of the event. Communicates meeting room policies and processes. Assists patrons and staff by providing guidance on the best rooms, room setup and Library resources for their event needs. Processes, updates and schedules meeting room applications and requests in a timely manner.
- Events Supervision. Provides staff support to events both during and after Library hours to ensure the smooth running of the events operations. Be available to customer for any room requests or changes. Provides setup and operation of audio-visual equipment as requested. May provide direction to staff supporting an event.
- High quality customer service. Provides customer service assistance to staff, community members or groups to ensure that utilization of event space is efficient and meets expectations. Encourages outside groups to return to the Library for their events by providing excellent customer service. Interprets Library rules, policies and procedures to the public. Interacts with customers in person, by telephone and electronically. Responsible for handling difficult customer interactions or solving customer service problems. Has the ability to serve a diverse population.
- Working relationships. Fosters good working relationships with diverse people including staff, patrons, volunteers and vendors. Accepts assignments from supervisor, manager or other Library staff in a professional and timely manner.
- Technology requests. Assists patrons with the use of technology. Maintains assigned equipment and ensures all pieces are functioning and easily accessible.
- Programming and outreach. Under the supervision of the designated program or service coordinator, may perform in a support role with delivering high quality library programs and services to community members.
- Committees and workgroups. May participate in committees or workgroups on activities outlined in the strategic goals.
- Other duties. Performs other duties as assigned or required.
Minimum Qualifications
- Completion of two years of college and two years of related job experience, or an equivalent combination of education and experience which demonstrates background and knowledge in performing the primary responsibilities.
- Enthusiasm to work with the public and a solid foundation in good customer service skills.
- Excellent written and verbal communication skills, including presentation skills, ability to work with teams, and the ability to negotiate with diverse individuals and groups.
- Intermediate knowledge of operating a computer and programs.
- Strong problem solving skills that facilitate proactively anticipating requirements and potential problems.
- Self-motivated, self-starting, and detail oriented, with a professional presence, maturity, judgment, and awareness to follow-up with little or no direction.
- Ability to maintain confidential information.
- Ability to work days, nights or weekends as scheduled.
- If travel is required for library purposes must have transportation. If using personal vehicle must maintain state required insurance.
Preferred Qualifications
- Bachelor's Degree.
- Spanish language and/or other non English language skills.
- Experience with library operations, programs and services.
- Experience with library policies and procedures.
- Experience with computer technology, scheduling software, and audiovisual equipment.
Working Environment
- Work is performed in an urban library environment.
- Subject to repetitive movement; standing, walking, bending, reaching and lifting of objects. May be subject to standing or sitting for extended periods of time.
- Must be able to lift/carry library materials, up to 50 lbs, and push/pull library carts.
- Must have good hand mobility and coordination.
- Subject to intermittent periods of inclement weather when retrieving library materials or participating in library outreach programs.
Schedule
- Part-time, 18 hours per week. May include days, evenings, and/or weekends.

- Completion of criminal background check will be required if the candidate is over eighteen (18) years of age.

Compensation
- Grade 14; Minimum $23.60/hour.
