    Operations Department

    Reports To:
    Program Manager and Operations Manager

    Responsibilities Include:
    Registration of travel participants to include: daily data entry of all registration forms and activity sign-up's including downloading from online web portal; organization and filing of registration and activity forms, reconciliation of trip related documents prior to sending trip packets; and communicating updates on room block usage, reports, rooming list, air manifest, ground manifest, deviations, attendee special requests and VIPs to the Program Manager (PM)
    Process all traveler deviation requests and respond in a timely manner to phone calls and emails

    Prepare travel information packets, including:
    creating participant letters for each itinerary; reconciliation of travel activities; copying flyers and assembly of all contents; mailing of packets in a timely and cost efficient manner; tracking delivery of all packets
    Complete follow-up calls to travel participants
    Prepare Travel Director trip books, assemble all on-site program materials including participant name badges prior to trip operation
    Provide support and assume other duties for other departments not specifically outlined, as needed and directed by Operations Manager


    Job Skills Required:
    This is an entry-level position with strong potential for growth.
    College Degree
    Must be able to come to work promptly and regularly
    Must be able to take direction and work well with others
    Must be able to work under the stress of and meet deadlines
    Must be able to concentrate and perform accurately while meeting applicable productivity measures
    Must be able to handle multiple tasks as assigned on a timely basis
    Minimum 1-2 years' experience in the hospitality/events or customer service related industry

    This position is responsible for working directly with our participants for the registration and preparation of domestic and international incentive travel programs.

    Proficient computer skills including Microsoft Office
    Highly organized and detail oriented
    Possesses strong communication, people and customer service skills
    Ability to multi-task and prioritize
