    Summary


    Under general supervision, coordinates and carries out responsibilities involving assigned causes of action while maintaining poise, confidentiality, organization and efficiency in a fast-paced, demanding working environment.

    The County Clerk is responsible for and serves as the Clerk of the Court for the Civil County Courts at Law.

    The Clerk's responsibilities include maintaining and ensures accuracy and integrity of the Courts electronic and paper filesfor civil cases, preparing notices and citations, and maintaining records associated with the cases filed before these courts.

    Oversees and maintains dockets; receives Notices of Appeals to be submitted to the 4th Court of Appeals; prepares correspondence; prepares official documents; coordinates court appearances; performs data entry; answers telephones; maintains files; makes certified copies; and performs related duties as required.

    Duties and Responsibilities


    • Serves as contact liaison on a daily basis between the County Court at Law Judge, County Court at Law staff, District Attorney's Office, Constables and Justices of the Peace and other county departments and agencies for court documents filed in the County Clerk's Office, information and case status in civil division docket related matters.
    • Responsible for preparing, filing, arranging and maintaining all case files that have been assigned to a specific court and judge and may be required to substitute and assist in other courts with minimal guidance as needed.
    • Responsible for receiving and filing all court documents; receiving all exhibits at the conclusion of the proceeding; issuing all process; and performing all other duties imposed on the County Clerk's Office by law.
    • Maintains hearing, jury and non-jury trial daily dockets both in person and virtual for criminal statutory county courts and any associated specialty courts; and assists the judge in the jury selection process and maintains jury records, records excuses, and jury strikes.
    • Files cases in accordance with the statewide eFiling Rules for Civil Cases as adopted by the Supreme Court of Texas and records case activity in the County's Case Management System.
    • Reviews all orders signed by the Judge to determine what further action, if any, is required by the County Clerk's Office and completes said action.
    • Ensure proper notification of statute-mandated court documents regarding cases to internal and external departments with the highest level of confidentiality and promptness.
    • Reviews, accepts, and prepares Notices of Appeals to be submitted to the 4th Court of Appeals. Including preparing the Certificate of Appeal and notifying appropriate parties in a timely manner to abide by the Texas Rules of Appellate Procedures.
    • Prepares and researches civil, and administrative proceedings for court dockets and hearings by ensuring accuracy, integrity and completeness of cases
    • Maintains hearing, jury and non-jury trial daily dockets both in person and virtual, maintains case manager system calendar to verify hearings are ready for presiding docket.
    • Initiates communication on to potential Jury Trial cases, by calling attorneys on file and pro se's in regards to see if parties are ready to proceed.
    • Prepare the Dismiss for Want of Prosecution (DWOP) docket by mailing out notices and presenting files to judge.
    • Reviews and accepts paper and electronic filings and enters case information into the County's Case Management System, to include rejecting incorrect efiings for both new and existing cases.
    • Files cases in accordance with the statewide eFiling Rules for Civil Cases as adopted by the Supreme Court of Texas and records case activity in the County's Case Management System.
    • Performs general administrative duties such as preparing certified mail, faxing, and mailing out legal documents as requested. Verifies payment for copies has been made before issuing the service on documents being requested.
    • Attends court hearings and trials to assist Judge, process court evidence and exhibits by inputting data into the County's Case Management System.
    • During presiding months where Criminal judges are presiding, clerks work closely with Criminal judges and the court coordinator for respective courts by providing them information of procedure and current workflows of civil proceedings.
    • Prepares Record List for Presiding Judge for signature on incoming orders; review orders for correct case information and review each file for default judgments.
    • Scans in Orders, Judgments, and all court documents into the County's Case Management System to ensure that all court documents are viewable and retrievable by all court staff and other Bexar County entities.
    • Prepares and issues court documents which may include court orders, court transfers, judgments, warrants, subpoenas, exemplified and certified copies, issue show cause notices, requests for Abstracts of Judgment and Writs of Execution and Possession.
    • Responsible for accurate data submissions to ensure reporting is accurate to state and local agencies, including but not limited to: Office of Court Administration (OCA)
    • Conducts review of court documents, motions, and proposed orders submitted electronically and in person to ensure all local and statutory requirements are met before accepting and submitting to the County Court at Law Judge for consideration.
    • Supplies case information when appropriate to attorneys and pro se's regarding case status, dispositions, trial dates, court procedures and jurisdiction and make appropriate referrals and provide all parties with available dates for jury trials, eviction docket and presiding docket by telephone, or in person
    • Detailed reading and comprehension of a multitude of legal instruments while determining future action and expediting those that are time sensitive.
    • Administers oaths and takes proofs for parties involved in individual cases.
    • Coordinates the appearance of parties for cases scheduled on the daily docket.
    • Performs data entry and computer research of individual case, court date and dismissal or appeal information.
    • Acts as custodian of record and maintains case file confidentiality; coordinates files going to off-site Records Center.
    • Answers questions in person and by telephone regarding court procedures. Responds to emails regarding case file information.
    • May assist with training coworkers in court operations, procedures and policies.
    • Performs all other job-related duties as assigned
    Minimum Qualifications


    • High School or General Education Development (GED) certificate, and three (3) years judicial system experience; or an equivalent combination of education and experience
    • Good knowledge of civil courtroom procedures; good knowledge of basic legal terminology; good knowledge of alphabetic and numeric file maintenance
    • Knowledge of the Texas Rule of Civil Procedures; basic knowledge of criminal courtroom procedures; and good knowledge of basic legal terminology and court judgments.
    • Be able to learn and navigate electronic filing systems/ensuring that court documents are sent to proper queues
    • Ability to oversee multiple tasks simultaneously
    • Ability to communicate effectively, both verbally and in writing; ability to accurately enter data; ability to perform basic mathematical calculations; ability to operate personal computer, typewriter and basic office equipment; ability to establish and maintain effective working relationships with co-workers, County employees, Elected/Appointed Officials, attorneys and the general public
    • Must secure and maintain a favorable background investigation and clearance
    • Must clear a pre-employment physical and a pre-employment drug screen test
    • Must be bondable.
    • May be required to work more than 40 hours during the workweek

    Working Conditions and Physical Demands:
