- Maintain strong knowledge of ACGME and ABFM requirements
- Enter resident and program information for the "ACGME Annual ADS Update," the "AAFP Annual Census Survey of Family Medicine Residents," and the "National GME Census Resident/Fellow Survey"
- Coordinate residents' annual and monthly rotation schedules ensuring all resident rotations are in compliance with ACGME and WFM requirements; inform residents of scheduled rotations including changes and continuously provide residents with thorough contact information; update, type and distribute a list of each block's rotation-and-resident pairings
- Assist in the maintenance of the residency program's Policy and Procedure Manual and each rotation's Goals and Objectives
- Allot monthly resident meal ticket monies (based on call shifts/rotations), tracking expenses against the allotted budget
- Provide oversight (with the PD) of the residency budget, tracking all residency expenses, ensuring that monthly totals - by line item - match the WMC/WCGME master budget, ensuring funds are used economically, and giving approval/denial for all expense requests
- Coordinate with contact persons at each clinic and hospital site to ensure that Program Letters of Agreement, Non-Hospital Site Affiliation Agreements and faculty appointments are fully executed prior to every resident rotation
- Track and schedule certification and recertification courses for all residents and faculty, ensuring that each resident always holds licensure, professional liability insurance, DEA license, and certification in ACLS, ALSO, ATLS, BLS, NRP, and PALS
- Coordinate all logistics for the residents' annual In-Training Exam (register residents with the ABFM, schedule residents for the exam, test computers, notify residents and faculty of logistics and proctor the test)
- Serve as liaison between the WFM residency and DFCM to facilitate completion of faculty appointments, faculty promotion and tenure, graduate surveys, and department newsletter
- Serve as liaison between the WFM residency and WCGME, overseeing the completion of resident leaves of absence, PTO requests, Step 3 completion and outstanding employment-related paperwork
- Arrange logistics for residents and faculty who are required or choose to attend residency and/or family medicine-related events (Topeka Advocacy Day, Faculty Retreat, annual Program Review, Spring and Winter Symposia, Chief Leadership Workshops, etc.)
- Input and maintain resident information on the New Innovations database (demographics, score reports, certification renewal dates, schedules, evaluations, etc.)
- Prepare for and execute the annual 2-3-day WFM PG1 orientation
- Ensure that all graduating residents have met WFM and ACGME graduation criteria and are able to enroll in the ABFM Continuous Certification process
- Upon graduation, review each graduate's residency file for completeness, scanning to electronic files
- Employ various communication methods to resolve director, faculty and/or resident problems, requests and questions
- Attend weekly faculty meetings and monthly Residency Section meetings
- Sort, open and distribute all non-clinical mail to residents and faculty
- Act as liaison with CBRE for all downstairs building concerns and problems
- Oversee reservations for the three WFMC conference rooms
- Provide backup to Residency Program Coordinator.

This position is responsible for the administrative management of the Family Medicine Residency Program, in collaboration with the Program Director, Department Chair and Director of Department Finance and Administration. The position serves as the principle liaison between residency programs, departments and hospitals. This position assists the program director in meeting accreditation requirements, educational programing, budgeting, and support of residents.Job Description:

This position may have the opportunity for a combination of in-office and remote work, based on a set departmental schedule and at the approval of the supervisor.

Coverage begins on day one for health, dental, and vision insurance and includes health expense accounts with generous employer contributions if the employee participates in a qualifying health plan. Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
