- Track and ensure receipt of all project close out documents to include Warranty certificates, Operation and Maintenance Manuals, Permit Records of Decision (PROD) and any other Soil Test Results from Environmental Office (if applicable), Authority to Occupy Letters, all Commissioning tests, IDS and Access Control system operability reports, Hazardous Materials Disposal Documents, Demolition of Building Documents, Beneficial Occupancy Letters, Contract Task Orders, As-built Drawings, DD-1391 and 1354 documents.
- Coordinate with Project Executing Agencies, Contractors, and Project Monitors and participate in key construction phases (PAK, Red Zone) for receipt of all close out documents.
- Participate in all pertinent weekly IT, Project, and MARFORRES coordination meetings.
- Ensure the completeness of all close out documents.
- Coordinate and represent MARFORRES Facilities on all correspondences to stake-holders delinquent on providing adequate close out documents.
- Maintain project close out data base for all completed construction projects.
- Liaison with various Departments (Environmental, Energy, Real Property, Asset Management) to ensure requisite project close out documents are archived appropriately in INFADS (Real Property Accountability Officer - RPAO) or Share Point (Environment/Energy)
- Coordinate with G-6 and G-3 for all relevant certifications (SIPR & Armory certs) and Telecommunications documents (ATOs) are included in the closeout of all projects.
- Track all costs and utility usage for all FISCAL direct paid utility bills for all remote MCRC and MCSF sites, to be used for Spend Plan.
- Assist the Energy Data Coordinator with utility bills data gathering and analysis.
- Monitor and analyze FISCAL data in the Share Point spend plan to identify trends and gaps which would negatively impact MFR FAC's fiscally
- Performs other job-related duties as assigned
- A bachelor's degree preferred.
- 4-6 years of relevant experience working with large or mid-sized departments in contract administration.
- Construction management, project management experience preferred.
- Prior experience developing processes, templates, and FAQs.
- Strong Microsoft Office skills including Word, Outlook, Excel, and PowerPoint.
- Strong written and oral communication skills.
- Ability to thrive in a fast-paced environment, utilizing effective organizational skills to prioritize and manage deadlines for multiple stakeholders.
- Team-player with the ability to work collaboratively in a cross-functional role.
