Description
Position Summary
We are seeking a highly organized and dependable Administrative Assistant to support our Accounting & Finance team at our Charleston Office This is a hands-on, high-visibility role that blends administrative support, accounts receivable assistance, and day-to-day office coordination.
This position plays a critical role in keeping both the finance function and office operations running efficiently. The ideal candidate is detail-oriented, proactive, and willing to take ownership of a wide range of responsibilities—from spreadsheets and reporting to paperwork, filing, and general office needs.
Key Responsibilities
Accounting & Finance Support
- Assist with accounts receivable activities, including tracking invoices, monitoring aging reports, and supporting collections efforts
- Perform data entry and reporting within ERP systems such as JD Edwards / Oracle
- Generate and maintain Excel-based reports and trackers
- Support month-end close activities with administrative and reporting tasks
- Assist with customer communication regarding invoices, payment status, and documentation
Administrative & Office Operations
- Manage and maintain physical and digital filing systems, ensuring documentation is organized, accurate, and audit-ready
- Handle high-volume paperwork processing, including scanning, filing, routing, and recordkeeping
- Coordinate and track incoming/outgoing mail, invoices, and office documentation
- Support preparation of internal documents, reports, and correspondence
- Assist with document control and standardization of forms and processes
General Office Support
- Provide day-to-day support for general office needs and special projects
- Help coordinate administrative aspects of meetings, reporting deadlines, and internal requests
- Take on ad hoc tasks and special assignments to support team priorities
Requirements
- Associate's degree or relevant experience in Business, Accounting, or related field preferred
- 2+ years of administrative or office support experience (finance/accounting exposure preferred)
- Experience supporting accounts receivable, invoicing, or financial processes is a strong plus
- Proficiency in Microsoft Excel (formulas, sorting/filtering; pivot tables a plus)
- Experience working in an ERP or accounting systems
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities in a deadline-driven environment
- Effective communication skills and a proactive, team-oriented mindset
- Must be able to reliably commute and work onsite daily in Charleston, SC (Clements Ferry Road)
