    GENERAL INFORMATION
    TITLE Registrar

    POSITION SUMMARY:


    The job of Registrar is done for the purpose(s) of registering/withdrawing of students and maintaining computerized student records and files; providing student information to authorized parties in compliance with established policies; and providing general clerical support, information, and/or direction as may be assigned.


    QUALIFICATION - EXPERIENCE - KNOWLEDGE:

    • High School diploma is required and an Associate's Degree is preferred
    • Excellent computer abilities with Google Applications and other business related software products
    • Experience with Excel and working in student databases (e.g. Infinite Campus, SIS, etc.) is preferred

    ESSENTIAL FUNCTIONS:

    • Maintains a high level of ethical behavior and confidentiality when dealing with student and staff information for the purpose of ensuring compliance with district, state, and federal regulations
    • Responds to questions from a variety of internal and external sources (e.g. staff, other educational institutions, the public, parents, and/or students, etc.) for the purpose of providing information and/or directions
    • Meets with prospective new students and parents for the purpose of determining enrollment eligibility and to input registration data
    • Presents information on administrative procedures, services, etc. (e.g. provides assistance/information to parents regarding social security, vaccination/physical forms, etc.) for the purpose of training and orienting incoming students and/or disseminating information to parents
    • Compiles student records (e.g. birth certificates, transfers, immunizations, class credits, etc.) for the purpose of meeting state, federal, and/or district requirements
    • Interprets and evaluates transcripts of incoming students for the purpose of transferring grades and semester credit hours into the district student information system
    • Reviews established guidelines in evaluating incoming student transcripts for the purpose of ensuring their conformance with district grading, curriculum and course credit
    • Verifies information and grades on transcripts for the purpose of ensuring the accuracy of the information
    • Verifies student related data (e.g. grades, information, etc.) for the purpose of ensuring the accuracy of the student records
    • Maintains a variety of manual and electronic documents, files, and records (e.g. grades, transcripts, academic achievement records, student information, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements
    • Manages student information system for the purpose of maintaining the accuracy and efficiency of student data
    • Performs all enrollment and withdrawal activities and prepares and maintains permanent student records for all students for the purpose of complying with established legal, state and federal requirements
    • Prepares standardized documents and reports (e.g. report cards, form letters and memos, calendars, bulletins, periodic reports, etc.) for the purpose of documenting activities, providing written reference and/or communicating information
    • Processes a variety of documents and materials (e.g. transcripts, job verifications, etc.) for the purpose of providing required information in response to requests from students, other districts, colleges/universities and/or employment agencies
    • Researches discrepancies in student records for the purpose of verifying graduation status and ensuring the accuracy of information
    • Compiles a variety of ad hoc reports and data collection (e.g. year-end reports, progress reports, etc.) for the purpose of providing accurate information
    • Assists Business Services Department in collecting payments and/or fees for the purpose of completing transactions
    • Serves as liaison to the Guidance Department for new and withdrawing students for the purpose of maintaining accuracy and efficiency of student data
    • Supports Assistant Principal for Student Services for the purpose of ensuring the accuracy of student records
    • Maintains a high level of ethical behavior and confidentiality when dealing with student and staff information for the purpose of ensuring compliance with district, state, and federal regulations

    OTHER FUNCTIONS:

    • Attends department, in-service meetings, workshops and/or seminars as assigned for the purpose of conveying and/or gathering information required to perform job functions
    • Participates in training for the purpose of providing or receiving information and updating skills as changes occur in district software
    • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the school district
    • Supports and serves as a backup to other administrative personnel for the purpose of providing assistance with their functions and responsibilities as needed

    SKILLS REQUIRED:

    • Ability to demonstrate regular attendance and punctuality
    • Ability to perform several tasks concurrently under varying deadlines and adapt to changing work priorities
    • Ability to maintain a professional demeanor in all situations and must be able to withhold confidential information
    • Ability to exercise tact, good judgment, and initiative in dealing with students, faculty, and parents/guardians
    • Ability to communicate with diverse groups
    • Ability to operate standard office equipment including using pertinent job related software applications and preparing and maintaining accurate records
    • Ability to work well with all levels of internal management, staff, and students as well as parents/guardians
    • Ability to communicate clearly and concisely, both orally and in writing including clear, polite
    * telephone communication skills and the use of proper grammar and punctuation to write routine reports and correspondence


    • Ability to work effectively as part of a team and with frequent interruptions
    • Ability to set work priorities, and work efficiently under minimum supervision

    PHYSICAL REQUIREMENTS:


    Employees in this position must have the ability to sit for extended periods of time; enter data into a computer; operate standard office equipment; use a telephone; see and read a computer screen and printed matter with or without vision aids, hear and understand speech at normal levels and on the telephone; speak so that others may understand at normal levels and on the telephone.


    WORK ENVIRONMENT:


    The usual and customary methods of performing the job's functions require the following physical demands; some lifting, carrying, pushing and/or pulling and significant finger dexterity.

    Generally the job requires 90% sitting, 5% walking, and 5% standing.

    There will be an annual evaluation for this position.
