    Title: Event Planner

    Location: Remote

    Duration: 6 months -1 year

    100% remote with 10% travel

    Description:

    • Lead the process to strategically plan and execute healthcare internal and external meetings and events for St. Jude Medical.
    • Collaborate with Product Marketing, Clinical Marketing, and Global Communications and other key stakeholders to ensure business objectives and priorities are met.
    • Work closely with vendors to design or create event elements to support strategic objectives and program deliverables.
    • Lead effort in venue sourcing to place the meeting or event with the appropriate meeting space and other specifications to support each program.
    • Develop communications to the SJM executive team, field sales force, management, and attendees to ensure companywide awareness of the event.
    • Manage the planning and supervision of all internal resources and external partnerships that include installation and dismantling labor, transportation, food and beverage, group housing list, registration, coordination of onsite event services and other related activities.
    • Serve as liaison with healthcare societies to ensure alignment and to leverage the SJM brand.
    • Process a series of post-event activities that include timely payment of invoices, internal cross-charging, financial summary and attendee evaluations.

    Top qualifications:

    • 2 years experience in HCP contracting and event/conference logistics management, Intermediate/basic MS Office. very organized
    • The primary purpose of this role is to support the Medical Education team in the planning and execution of US and global programs.
    • This individual will work closely with the client's Medical, Clinical, and Scientific Organization to strategically plan and execute external meetings to help support the Medical Education department.
    • This individual will work closely with vendors to design or create event elements to support strategic objectives and program deliverables.

    Job Duties:
    - Support pre- and post-event planning for Medical Education events, Focus Groups and Scientific
    Advisory Board meetings:
    o Speaker agreement/contract submission, based on guidance from the Medical Education team
    o Event location sourcing
    o Event location contracting, securing A/V, and menu selection (where applicable)
    o Booking KOL speaker travel for events
    o Uploading of all program files to the appropriate repository post-event
    - Manage KOL speaker payment process, including:
    o New vendor set up
    o Requesting invoices from speakers for past programs
    o Processing and submitting PO requests for approval
    o Submitting invoices with approved POs to Accounts Payable for payment processing
    - Tracking of submitted invoices and reporting actuals
    - Speaker travel booking
