The Assistant On-Site Manager Maintenance is a hybrid role focused on providing strong maintenance support while overseeing a variety of Assistant Manager duties. An open line of communication and interaction shall exist between the Assistant Manager and the Manager. Additionally, there will be considerable communication and support given to the Manager when interfacing with individual residents and contractors.

Roles and Responsibility

· The Assistant Manager shall assist the Manager with the maintenance of various homeowners' requests, records filing, and report reproduction. This person is responsible for assisting the Manager in all regards, including but not limited to the implementation and supervision of Board and Management policies, while nurturing interpersonal relations among unit owners and residents.

· The Assistant Manager is responsible for helping the Manager write specifications, perform community inspections, assist with contract compliance, assist in the interview process for bid reviews, and special projects oversight. The Assistant Manager shall also assist with any administrative functions, and accounting functions as assigned by the Manager, and perform property inspections and follow-up assistance as needed.

· The Assistant Manager shall attend Board and other meetings as requested or when the Manager has a conflict.

· The Assistant Manager shall cover and respond to 24-hour on-call emergencies as needed when the Manager is unavailable. The Assistant Manager shall perform other duties as assigned by the Manager. The satisfaction of the client and the key for client retention is to provide outstanding customer service; including following up on all assignments promptly and following company procedures.

· Perform general maintenance repairs and supervise the maintenance techs. These include, but are not limited to the knowledge and ability to do the following:

Basic carpentry repairs

o Basic gardening and lawn maintenance

Basic drainage repairs

o Painting

o Drywall and painting repairs as needed

o Basic vehicle maintenance preferred

o Gutter cleaning

o Basic understanding of roofing

• The On-Site Manager is responsible for contract compliance & contractor oversight; drafting of contract specifications; aiding/assisting in the interview process for bid reviews

• Coordination and notification of projects.

• Daily complete the Maintenance request and work order forms as assigned by the Management office. Perform all requested work as promptly as the schedule permits, and within seventy-two hours. Give priority to emergency repairs. Report any tasks that cannot be performed to the PM and request assistance when needed.

• Project oversight, site staff oversight, and training

• Perform snow removal duties. Anticipate storms, and arrive at the property early in the morning to clear ramps and sidewalks

• Communications coordination; decision-making; performance of service and/or related activities; building security and safety compliance

• Property inspections and follow-up; assistance with insurance claims handling and processing

• Attendance at Board meetings and other meetings as requested; resolution of resident inquiries and problems

• Maintenance of files, budget compliance, and assistance with annual budget preparation

• Response to 24-hour on-call emergencies as needed – On-call daily.

• Production of monthly site management reports and other reports as instructed by the Community Manager
