    Job Summary

    This position will support the corporate attorneys (including mergers and acquisition and SEC reporting) in the Office of General Counsel, Legal Department located in Charlotte, North Carolina. This position requires a minimum of two years of legal secretarial experience. Must possess the ability to multitask and stay flexible in a fast-paced environment while working as part of a team with attorneys and paralegals.

    Responsibilities

    • Drafts and edits, using Word or other Microsoft products, and proofreads correspondence, presentations, and transactional and corporate related documents in an accurate, complete, and timely manner and with a high level of attention to detail.
    • Assists with reviewing, proofreading, citing and quality checking transactional and corporate documents.
    • Assists with obtaining signatures from executive officers or management of the Company on transactional and corporate documents and managing process with outside counsel, as needed.
    • Screens and prioritizes phone messages, email and other correspondence; responds to calls and email with little direction or supervision required.
    • Maintains attorney calendars and tracks deadlines using Outlook and SharePoint; schedules appointments, internal/external meetings; makes decisions on priority and changes calendars; arranges and coordinates all business travel, luncheons and/or dinner logistics; assists with tracking and timely paying attorney CLE and bar dues.
    • Assists paralegals with development and maintenance of virtual datarooms, artificial intelligence tools, SharePoint sites, file shares, and SFTP sites or other electronic media, as needed.
    • Responds to inquiries in a prompt, respectful and professional manner from officers, management, other employees and external sources regarding a variety of legal questions and other matters and determines what, how and to whom information is to be communicated with little direction or supervision required.
    • Always maintains confidentiality when handling information of a confidential nature.
    • Serves as the process owner for matter management, hard-copy and electronic files, databases, document management systems, and specialized computer software systems, including e-billing for the matters of the attorneys supported by this position
    • Assists with annual share ownership confirmation process for senior executives (sending emails, tracking responses, etc.)
    • Performs routine administrative duties such as copying, scanning, filing, creating and maintaining files, and preparing mailings.
    • Prepares expense reports and handles logistics. Develop and maintain SharePoint, and SFTP sites or other electronic media, as needed.
    • Initiates and completes assigned projects as instructed and with a sense of urgency.

    Basic Qualifications

    • High school diploma/GED AND two (2) years minimum of related work experience.

    Desired Qualifications:

    • At least 5 or more years related experience as a legal secretary or legal assistant, in a law firm, in-house corporate legal department or governmental agency supporting a transactional or corporate practice group.
    • Prior legal secretarial experience or related experience of a technical and responsible nature and proficiency with legal terminology.
    • Experience supporting three or more attorneys and/or paralegals.
    • Prior experience as an executive assistant
    • Associate's or Bachelor's degree.
    • Regulated industry or utility experience.
    • Working knowledge of computer applications such as, Oracle expense reporting, Passport matter management, Microsoft Teams, Outlook, Word, Excel, PowerPoint and other Microsoft products, SharePoint, Datasite, Intralinks, Kira and performing internet research.
    • Demonstrated clear, concise, and effective written and oral communications skills, including an emphasis on grammar and formatting.
    • Demonstrated ability to prioritize, organize, and coordinate work while being proactive, taking initiative, and exhibiting sound judgment.
    • Attention to detail, accuracy, and flexibility in handling multiple tasks, often under time constraints while taking direction from multiple attorneys, paralegals and/or clients.
    • Demonstrated ability to appropriately handle highly confidential and proprietary information.
    • Demonstrated problem solving, decision making and analytical skills.
    • Holds oneself accountable for complete, accurate, and timely work results, both independently and as part of a team.
    • Exercises professional judgment, integrity, respect, and professionalism.
    • NC Notary Public.

    Working Conditions

    • M - F, 2 - 3 days per week in office
    • Hybrid mobility classification - work will be performed from both remote and onsite locations after the onboarding period. However, hybrid employees should live within a reasonable commute to a Duke Energy facility.
