    We're looking for a conferences and events assistant to join our ranks. In this role, you will join our fourteen-person team in planning and hosting our educational and invitational conferences. You will need a sharp eye for detail as well as the ability to take big changes in stride and juggle a wide range of duties in a fast-paced environment.

    Key Responsibilities

  • Researching venues, décor, restaurants, activities, and entertainers
  • Coordinating the administrative aspects of conferences and other events, including data entry and maintenance, creating detailed spreadsheets using historical data, and formatting conference feedback
  • Reviewing transportation manifests, hotel rooming lists, and conference collateral
  • Organizing internal meetings, both pre- and post-conference, as well as coordinating our weekly huddles including meeting minutes
  • Assisting with conference logistics, including detailing flight manifests, rooming lists, and volume reports
  • Keeping our production room and storage area organized and stocked while maintaining product inventory
  • Handling the shipping and receiving of conference materials and supplies while working closely as the liaison for the team with Office Services
  • Assisting with the development of conference registration websites and mobile app
  • Core Strengths and Skills

  • Ability to manage and oversee multiple projects and prioritize support to the team
  • Strong follow-up and time management skills; ability to remain calm and stay focused under pressure
  • Enthusiastic, energetic, and professional demeanor
  • Proficient in Cvent or Salesforce a plus; proficiency with Microsoft Word, Excel, Outlook, and online research required
  • Clear and professional communication skills
  • 1–2 years of experience as an assistant or within the events industry preferred
