Job Overview

We are seeking a highly organized and personable Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing a variety of administrative tasks. This role requires proficiency in office management, strong communication skills, and the ability to multitask effectively in a fast-paced environment.

Duties

  • Greet and assist visitors in a friendly and professional manner.
  • Manage multi-line phone systems, directing calls to appropriate personnel.
  • Perform data entry, filing, and clerical duties to support office operations.
  • Maintain appointment calendars, scheduling meetings and managing reminders.
  • Utilize QuickBooks for basic bookkeeping tasks as needed.
  • Provide customer support by addressing inquiries and resolving issues promptly.
  • Ensure the front desk area is organized and welcoming at all times.
  • Assist with administrative tasks including proofreading documents and managing correspondence.
  • Utilize Microsoft Office and Google Workspace applications for various office functions.
  • Maintain confidentiality of sensitive information while adhering to company policies.

Experience

The successful candidate will possess the following skills and experience:

  • Previous experience in a front desk or receptionist role is preferred.
  • Familiarity with multi-line phone systems and excellent phone etiquette.
  • Bilingual abilities are a plus, enhancing communication with diverse clientele.
  • Proficient in computer skills including Microsoft Office Suite and Google Workspace.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Experience in customer service or administrative roles is essential.
  • Knowledge of dental or medical reception practices is advantageous but not required.
  • Typing proficiency and attention to detail for accurate data entry and filing.
