Athletic Coordinator Position
HOPE Community Academy is an accredited, public co-educational charter school comprised of primary, intermediate, middle, and high school levels. Position Overview:
HOPE Community Academy is seeking a dedicated and organized Athletic Coordinator to oversee and manage all aspects of the school's K-12 athletic programs. The Athletic Coordinator will be responsible for organizing sports teams, coordinating schedules, managing athletic facilities, ensuring compliance with league and state regulations, and promoting a culture of sportsmanship and student development through athletics.
Responsibilities:
Program Management:
- Develop, coordinate, and oversee athletic programs for K-12 students across multiple sports
- Create and maintain athletic schedules, including practices, games, and tournaments
- Ensure all athletic programs comply with Minnesota State High School League (MSHSL) regulations and charter school athletic requirements
- Coordinate with league officials and other schools for scheduling and competition
- Monitor and track student athletic eligibility and academic standing
Coaching and Staff Management:
- This role may act as head coach when needed for some sports
- Recruit, hire, and supervise coaches and assistant coaches for various sports programs
- Provide professional development and training for coaching staff
- Conduct performance evaluations of coaches and athletic staff
- Ensure all coaches maintain required certifications and complete mandatory trainings (CPR, first aid, concussion protocols, etc.)
Facilities and Equipment:
- Oversee the maintenance and scheduling of athletic facilities
- Manage athletic equipment inventory, ordering, and budget
- Coordinate with external facilities for practice and game venues as needed
- Ensure all facilities and equipment meet safety standards
Student Development and Safety:
- Promote sportsmanship, teamwork, and character development among student-athletes
- Implement and enforce safety protocols and injury prevention measures
- Coordinate with school nurse and athletic trainer regarding student injuries and health concerns
- Maintain required medical documentation and emergency contact information for all athletes
- Address student-athlete concerns and resolve conflicts
Communication and Community Relations:
- This role will work directly with the Executive Director to strategize sports initiatives such as marketing plans, community sports events, etc.
- Serve as primary contact for parents, coaches, and community members regarding athletic programs
- Organize and conduct parent/athlete meetings for each sport season
- Coordinate athletic awards ceremonies and recognition events
- Maintain athletic program website and social media presence
- Foster partnerships with community organizations and local sports leagues
Administrative Duties:
- Prepare and manage the athletic department budget
- Process purchase orders and maintain financial records
- Coordinate transportation for athletic events
- Maintain athletic program records and documentation
- Submit required reports to MSHSL and other governing bodies
Professional Accountabilities:
- Maintain professional competence by attending staff development programs and professional development activities
- Participate in school events and staff meetings as required
- Perform any other related duties as assigned by the Principal or other appropriate administrator
- Serve as a role model for promoting sportsmanship, integrity, and professionalism
Qualifications:
Required:
- Bachelor's degree in education, sports management, kinesiology, or related field
- Minimum 2-3 years of experience in athletic administration, coaching, or related field
- Knowledge of MSHSL rules, regulations, and eligibility requirements
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Ability to work cooperatively with coaches, administrators, staff, students, and parents
- Proficiency with scheduling software and Microsoft Office Suite
- Valid driver's license and ability to travel to athletic events
- CPR and First Aid certification (or willingness to obtain)
Preferred:
- Master's degree in sports administration, education, or related field
- Teaching license or administrative license
- Previous experience as a head coach in high school or college athletics
- Experience working with diverse student populations
- Bilingual in English and either Hmong or Karen
- Knowledge of charter school operations and regulations
- Experience with athletic management software systems
Working Environment:
- Duties are normally performed in a school/office environment and athletic facilities; school building is a multi-level building that has an elevator and is accessible
- Position requires extensive interaction with students, staff, parents, and community members
- May require evening and weekend hours for athletic events, games, and tournaments
- Duties may be performed at various athletic facilities both indoor and outdoor
- Possible exposure to loud and noisy locations (e.g., gymnasiums during games, outdoor sporting events)
