    Summary of Duties:

    The Account Coordinator reports to the Branch Manager and is primarily responsible for assisting the Account Manager team in executing Service Projects for our customers. This position will handle most project back-office processes. You may or may not have direct contact with our customers or field employees depending on the size and complexity of the project.

    Primary Responsibilities:

  • Planning, organizing, controlling, and coordinating specific aspects of the projects assigned by the account manager.
  • Scheduling jobs based on the schedule provided by the owner.
  • Managing the necessary administrative records and controls to protect the interests of the corporation and the customer, to include prompt and accurate submittals, maintenance renewals, invoicing and close out materials.
  • Forwarding customer concerns and complaints in a timely, efficient, and cost-effective manner to the AM.
  • Working with suppliers on pricing, performance, reliability, and availability.
  • Performing all duties as directed by the branch manager.
  • Overseeing all projects to ensure optimal customer service, efficient use of equipment and time, and meeting departmental strategic and budgetary goals.
  • Evaluation of vendor and subcontractor proposals to ensure compliance with the job requirements and specifications.
  • Estimating HVAC change orders to comply with corporate profit guidelines and project requirements.
  • Coordinate permits and inspections to ensure all project schedules are met.
  • Coordination with service department dispatchers to ensure efficient use of technicians' time and effort.
  • Secondary Responsibilities:

  • Receiving and managing service customer calls.
  • Coordinating the assignment of service technicians to scheduled work orders and emergency service calls.
  • Scheduling work orders based on the expected complexity of the call against the capabilities of the available technician.
  • Tracking and updating the computerized dispatch board based on work order completion.
  • Resolving customer concerns and complaints in a timely, efficient, and cost-effective manner.
  • Maximizing the efficient use and allocation of the technician's time.
  • Receiving material at the loading dock for the service department.
  • Physical Demands

    While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands, handle, or feel; and reach with hands and arms. Some infrequent lifting is required (less than 40 lbs.)

    Position Type/Expected Hours of Work This is a full-time position and hours of work and days are Monday through Friday 7:00 am to 4:00 pm.Occasional evening and weekend work may be required as job duties demand.

    Required Education and Experience

  • One or more years of combined practical and academic experience in the full range of HVAC sub-fields, including the experience to analyze a typical field situation and provide a timely, correct solution.
  • Ability to successfully direct and coordinate the requirements of the customers, employees, outside suppliers, delivery schedules, and subcontractors.
  • Ability to negotiate with suppliers and vendors to ensure prompt and timely delivery at the lowest possible price.
  • Good oral and written communication skills.
  • Leadership and supervisory skills to motivate employees to higher achievements and to keep the company morale high while working with others.
  • Ability to comprehend and implement applicable HVAC related federal, state, and local governmental laws, codes, and regulations.
  • Have a valid driver's license.
  • Pass pre-employment drug screen.
  • Ability to represent the company at HVAC related social activities.
  • Familiarity with the following computer programs; Excel, Word, Access, Outlook, and Job Cost Accounting software.
