    We are looking for an Executive Assistant to support the Chief Digital Officer and his team. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. While your administrative skills are top notch, you are also incredibly skilled at interacting with executive leadership and enjoy creating order out of chaos while working independently and with little supervision to ensure the CDO has everything he needs to succeed.

    The ideal candidate completes a broad variety of administrative tasks:

    • Supports her executive/manager(s) by managing his email inbox and calendar, filtering out unnecessary meetings and communications, and scheduling meetings.
    • Works closely and effectively with her executive/manager(s) to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
    • Plans and coordinates the annual schedule, including monthly, quarterly and annual meetings (accommodation, meetings, food, etc);
    • Attends and coordinates senior leader meetings, including preparing materials, taking minutes, and following up on action items.
    • Manages the coordination and booking of travel: flights, accommodations and ground transportation.
    • Submits expenses and credit card reconciliations.
    • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
    • Assists drafting communications coming from the executive/manager(s), for example weekly updates and announcements.
    • Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
    • Other ad hoc responsibilities as required.

    Requirements:

    • 10+ years of experience supporting at the executive level.
    • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint and Teams) and Adobe Acrobat.
    • Expert level written and verbal communication skills.
    • Excellent interpersonal skills and the ability to build relationships with additional stakeholders throughout the organization.
    • Excellent time management and calendar management skills, including the coordination of executive meetings.
    • Well established personal organizational strategies and systems that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
    • Ability to work with minimal supervision and guidance.
    • Proven ability to handle confidential information with discretion.

    This position has a salary range of:

    $75, $113,300.00

    Quadient, Inc. has standard ranges for all U.S. - based roles, based on function, level, and scope, which are benchmarked against companies of similar size and growth-stage. To provide greater transparency to candidates, we share these targets on all job postings. Final salary offers are determined by multiple factors, which may include (but are not limited to) geographic location and candidate experience and expertise. As such, they may vary from the ranges listed. This position may be eligible for an annual bonus.
