    Summary:

    The Office Coordinator is responsible for coordinating the daily office administration of the Health and Counseling Services Department, performing administrative functions, greeting and welcoming incoming patients, answering phones, servicing the general office needs of the care providers and maintaining patient records.

    Essential Functions:

    • Schedule patient appointments for Health Services and Counseling Services care providers.
    • Enter and update demographic records for each patient.
    • Receive and process new student health records.
    • Maintain current patient records by entering and uploading documents into the Electronic Medical Records (EMR) system.
    • Coordinate with the IT department for the uploading of bulk information to the Practice Fusion System.
    • Maintain and keep all health and counseling records confidential and in compliance with HIPAA and FERPA regulations.
    • Maintain and process work injuries on OSHA Form 301, forwarding to Human Resources and Safety & Security.
    • Enter Health Services charges into Banner.
    • Compile monthly and year-end reports of services provided by Health & Counseling Services.
    • Assist with new student orientation each semester.
    • Perform any other duties assigned by the Director of Health Services.

    Competencies:

    • Strong oral and written communications skills.
    • Ability to use discretion in sensitive and confidential employee matters.
    • Excellent attention to detail, time management, and organizational skills.
    • Strong interpersonal skills, with the ability to coordinate and build relationships among a wide variety of individuals (both internal and external).
    • Able to type a minimum of 40 w.p.m.

    Required Education/Experience:

    • High School diploma or equivalent.
    • Minimum 2 years office experience.
    • Working knowledge of Google Suite, Microsoft Word, Excel and PowerPoint.

    Preferred Education/Experience:

    • Two years of college.
    • Bachelors or Associate degree in medical or office management related field.
    • Medical office experience.
    • Experience using or familiarity with EMR, Practice Fusion and/or Banner systems.
    • Experience working with college-aged populations.

    Physical Work Environment:

    • This role is expected to be performed on campus unless otherwise directed or arranged for and operates primarily in a professional office environment using standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines and other job-related and medical office/clinic technology.
    • There is a mix of standing and sitting for this particular role, but primarily stationary for most of the workday.
    • Classified as light, occasional lifting or lowering an object from one level to another (includes upward pulling) up to 10 lbs.
    • Expressing or exchanging ideas and conversation by means of the spoken or written word; needs to be fluent and conversant using the English language.
    • Generally, college hours of operation for full-time staff are Monday through Friday, 8:00am to 4:30pm. Very infrequently may be required to adjust hours or stay after normal hours, as job duties or team responsibilities demand.
    • Travel is not required for this position.
