    Canon has a full time/permanent opportunity for a Records Clerk with a growing law firm in Washington, DC . We are seeking candidates with relevant experience in the field of maintaining legal records, assisting with file destruction and has used a DMS system before.     OVERVIEW:

    Under general direction, plans, organizes, coordinates with Records Manager in NY office to warrant that established policies and procedures are in place; ensures the proper management, retention, and disposal of records and documents on and offsite; and performs related duties as assigned by the Records Manager. Must also exercise independent judgment on diverse and specialized records management with accountability and ongoing decision-making responsibilities associated with the work. This person is responsible for planning, organizing, supervising, reviewing, and evaluating the work as needed and ensuring proper management, retention, and disposal of any documents. Performance of the work requires the use of independence, initiative, and discretion within established guidelines. Excellent interpersonal and communication skills a must.

    TYPICAL DUTIES AND RESPONSIBILITIES:

    • Provides day-to-day leadership and works with staff to ensure a high performance, customer service-oriented work environment which supports achieving the department and the firms mission, strategic plan, objectives, and values.
    • Assist in developing and implementing goals, objectives, practices, policies, procedures, and work standards alongside the vision of the Records Manager for the firm.
    • Work in support of and contribute to the development of the firms information governance policies, procedures, and standards to achieve legal compliance and effective records management.
    • Responds to inquiries, helping to identify records and information relevant to the request and ensure a timely response to all requests.
    • Supervises the use of records management systems and equipment to ensure reliable, high-quality operation of document management systems.
    • Oversees the maintenance, update, and disposal of records on and offsite, revising destruction schedules and coordinating the destruction of records with corresponding departments.
    • Independently organize work, set priorities, meet critical deadlines, and follow-up on assignments. Use tact, initiative, prudence, and independent judgment within general policy, procedural, and legal guidelines.
    • Monitors and reviews legislation and legal requirements and recommends changes to achieve legal compliance and effective records management.
    • Must be comfortable interacting over email, phone, and/or zoom and communicating clearly, concisely, and without delay with Records Manager.
    • Performs other duties as assigned. Some heavy lifting may be required.

    QUALIFICATIONS:

    • 2-3 years supervisory experience in records management.
    • Knowledge of principles and practices of records management including document preservation, records retention, and disposal.
    • Law firm or legal department experience is a plus.
    • Strong understanding of RIM principles (or equivalent) and how to apply them in a law firm/professional and regulated setting.
    • Excellent customer service, interpersonal skills, and professional attitude.
    • Strong communication and managerial skills.
    • Proficiency in working in a records management/database system, FileTrail preferably.
