Dealer Services & Titling Representative is responsible for the processing of title work for all motor and other vehicles (including autos, boats, recreational vehicles, trailers, etc.). In addition to the title tracking responsibilities, Representatives are responsible for the maintenance of all dealer relationship files, including the dealer database, new dealer inquiries, activations, and deactivations. Provides support to the Consumer Lending Department as well as other departments on special projects as needed.
This position is a unionized position through the Communication Workers of America.
ESSENTIAL DUTIES
Maintains the Outstanding title follow up spreadsheet for Direct Loans and Indirect Loans
Maintains the dealer database in the Core and Salesforce, including dealer activations, deactivations, formal notices sent on behalf of the bank, logs incidents related to dealer/titling issues and completes follow ups.
Manages the approved dealership vendor files for all approved automotive dealers. Including the contracts and ensures that the files are maintained with current licenses and documentation.
Prepare, recommend, and track new Dealer Inquiries
Works closely with Dealer Relationship Managers with dealership related titling issues
Works closely with Retail Branch Managers and branch employees to discuss branch originated Direct Lending related titling issues
Responsible for all escalated titling issues, including but not limited to, preparing and filing records of complaint with the DMV, interactions with DMV Investigators as needed, and dealership closures.
Interact with dealership personnel and Beneficial State Bank representatives regarding dealership requests and issues
GL reconciliations/posting entries - consumer loan unposted, consumer loan clearing & consumer auction
Posting GL entries
Validating loan maintenance
Perform quality assurance steps to ensure that compliance standards are met
Maintains excellent customer services standards with both internal and external customers
Maintain reports for department
Represents the bank with professionalism both on the job and within the community
Punctual, regular, and consistent attendance
SECONDARY DUTIES
Processes out of state registration requests for consumers
Completes title transfers for direct loans
Complete title maintenance for errors on titles - name corrections, state changes, title correction, add a lienholder
Validating ELTs and uploading to STI
Data entry of paper titles
Reviewing registrations as received, logging them, and uploading to STI
Assist Commercial team with processing their title transfers as needed
Provides assistance in any duty requested by supervisor or other staff members as pertain to and/or related to job function
Completes special projects, as assigned
Abreast to changes in Dealer Services & Titling Department processes, including policies and procedures
Assumes responsibility for establishing and maintaining effective coordination and working relations with
Bank personnel and management, which may include:
Keeping management informed of area activities and of any significant problem
Ensures work area is clean, secure and well maintained
The position of Dealer Services & Titling Representative performs duties specific to the position and other functions as assigned.
MINIMUM REQUIREMENTS
High School diploma or equivalent education
Excellent communication skills
Customer service orientation and ability to develop and maintain relationships
Minimum of 1 years titling experience
Ability to multi-task in a fast pace environment
Computer literacy in Microsoft Office suite and/or banking-related software preferred
Detail oriented and strong organization skills
Organizational and time management skills are essential
**Training and Experience:**
Experience working with automotive titling, including electronic titling programs preferred
Experience working with a community bank preferred
