    About this position:

    We are looking for a dynamic and innovative Resource Planning and Administration Senior Analyst who will help us change people's lives in Latin America by providing administrative and operational support to the General Manager (GM) of the Department of Southern Cone Countries.

    The Department of Southern Cone Countries (CSC) is responsible for the strategic, programmatic, and operational relationship with Argentina, Brazil, Chile, Paraguay, and Uruguay. Likewise, the Department fulfills the function of coordinating and facilitating so that the corporate and operational activities and processes are duly integrated and addressed in the administrative bodies of the institution, including the Board of Directors, Senior Administration, and the different departments of the IDB Group (IDBG). The Department is also responsible for the macroeconomic monitoring of the countries and the generation of knowledge on strategic and operational issues.

    What you'll do:

    You will support the Manager and Resource Planning Specialists with the coordination and implementation of the Department's strategic priorities as follows:

    Human Resources

    · Work closely and collaboratively with the Resource Planning Specialists (RPA) and cross functional colleagues to deliver HR services, ensuring compliance with key deadlines and quality control i.e., Time & Labor, performance management, mandatory courses tracking etc.

    · Support contract management by ensuring that contracts and other documents that are under negotiation are agreed upon at the right level of authority and within legal/IDB guidelines.

    · Maintain a keen awareness of business trends to support the employee experience by promoting an inclusive, positive and engaging work environment.

    · Use HR Analytics to evaluate and document the department's performance and compliance with HR priorities, by identifying trends, gaps or inconsistencies.

    · Support all activities related to on-boarding and off-boarding (CSC HQ), working with RPA Specialists and supervisors to draft training plans, as needed.

    · Use surveys and other tools to monitor, track and report feedback/results from the implementation of new programs, policies or initiatives to understand internal client priorities and propose solutions.

    Budget and Financial Management

    · Make recommendations and contribute to the planning of the department's business plan and budget through a sound understanding of the Budget Call exercise.

    · Perform accounts payable functions ensuring compliance with the Chart of Accounts and apply knowledge of results-based budgeting and other business concepts (e.g., accounting and financial systems, etc.) to increase efficiency.

    · Collect and analyze qualitative and quantitative data on budget execution and results and advise on opportunities to reduce costs and realize resource efficiencies.

    · Demonstrate a thorough understanding of transaction processes from end to end in collaboration with relevant corporate units (Budget and Finance) to resolve incidents for quality execution and reporting.

    · Understand the context of the different functional subject matters (i.e., Operations, Economics) and financial/resource plans and make budget recommendations to fit the business needs.

    · Perform month-end and year-end closing activities, as needed.

    General Administration

    · Coordinate activities of the Office of the Manager including, travel and agenda using sound judgment as "gatekeeper" to implement strategies for efficient use of the Manager's time.

    · Support the tracking of the Manager's work program, taking corrective action in a timely manner.

    · Manage the department's general mailbox in Outlook including the management, distribution and filing of CSC's official documents in Bank systems.

    · Provide guidance to CSC personnel in general administrative matters including travel, procurement, records, facilities, information technology, business continuity and corporate sustainability attending relevant trainings and information sessions to stay current on best practices in policies, procedures and systems.

    · Identify issues or inefficiencies in business processes and workflows by evaluating effectiveness and make recommendations for improvement.

    · Coordinate the planning and execution of events organized by/for the CSC HQ team including internal meetings, as well as inter-departmental or external meetings.

    · Anticipate the goods and administrative services needs for CSC HQ including office and pantry supplies and equipment following corporate procurement guidelines.

    · Support the office space plan and improvements (e.g., renovations, upgrades of office inventory, etc.) and function as the ITE liaison for all office equipment.

    · Support Business Continuity and Crisis Management activities including office drills, acting as Building Warden.

    · Share/exchange relevant information about new developments with other business areas/functional teams in a timely manner to strengthen internal communications and knowledge sharing.



    What you will need:


    · Education: bachelor's degree in business administration or a similar field.

    · Experience: Minimum of 4 years of experience in business administration or a similar field. Experience managing complex and/or confidential information. Excellent organizational skills and a high level of attention to detail. Proficiency in Microsoft Office 365 tools. Proficiency in relevant Bank systems including SAP and Hyperion and ServiceNow. Knowledge of database management and analytical tools, such as Power BI is desired.

    · Languages: Excellent written and verbal communication skills in English, Spanish, and/or Portuguese are required.

    Requirements:


    – Citizenship: You are a citizen of one of our 48 member countries.

    – Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.

    · International staff contract, 36 months initially, renewable upon mutual agreement.
