- Schedule and oversee planning or debrief meetings with key participants, create event agendas, and produce meeting notes, budgets, and timelines.
- Collaborate with stakeholders to develop event agendas that optimize attendee flow, consider different learning styles, venue capacity, speaker skills, and event goals.
- Manage multiple projects simultaneously while working with stakeholders of various levels.
- Handle vendor contacts, purchase orders (PO), and payments in accordance with company policy.
- Develop and execute meetings communication plans using various channels.
- Engage key stakeholders in content planning to align content strategy with organizational goals.
- Lead program or project efforts to enhance attendee experience and promote innovation.
- Manage session and speaker logistics on a daily basis, including scheduling, material deadlines, and communication.
- Organize and lead production meetings, collaborate on registration, attendee lists, and event logistics.
- Bachelor's degree and at least 2 years of meeting planning experience.
- Strong interpersonal and communication skills.
- Excellent organizational, multitasking, time management, and attention to detail abilities.
- Capacity to thrive under pressure and adapt to changes.
- Demonstrated customer-service orientation.
- Initiative-taking approach, meeting deadlines, and fostering collaborative relationships.
- Travel may be required.
- Certified Meeting Professional (CMP) designation is preferred.
