    Job Description

    Reporting to the Director of Operations within Legal and Compliance, this role offers an opportunity to implement and support solutions to improve the day-to-day productivity of the Legal & Compliance department.

    This position collaborates cross-functionally with the department, as well as key stakeholders across the firm, including Finance, IT and HR.

    The Operations Analyst will develop and maintain processes and deliver on strategic projects impacting the department.

    You will be a member of a high-impact team designing the operational and technology infrastructure, optimizing processes, and running critical processes for a dynamic legal function.

    Responsibilities include but may not be limited to:

    Assist with operations support for Legal and Compliance department, including but not limited to financial planning and analysis, conducting research and data analysis, report generation, coordination of strategic planning annual processes, and ad hoc projects.

    Partner with Director of Operations in enabling department with technology solutions needed to maximize the teams ability to deliver quality service to the firm.

    Encouraged to actively seek out projects to broaden knowledge and expertise.

    Identify opportunities for increasing efficiency and effectiveness of business operations processes and procedures; assist in identifying and addressing operational issues and escalate questions and issues as appropriate.

    Manage and run all aspects of legal billing for the firm.

    Serve as subject matter expert/administrator for billing lifecycle from opening and closing matters, reviewing invoices and acting as primary point of contact for all billing inquiries.

    Work closely with law firms and general counsel on legal expense management and invoice review.
    Facilitate the departments financial planning and forecast processes which occurs at least three times a year. This includes opportunity to work side-by-side with the General Counsel, CFO and other senior leaders within each business line. Support Legal and Compliance teams with process improvements, information requests, general recordkeeping/document retention and more.
    Create high quality slides and presentations for department meetings, organization and initiatives.
    Execute routine and ad hoc analysis and reporting requirements.
    Create all deliverables in a timely and accurate manner.
    Follow established policies and procedures.
    Additional responsibilities as requested.

    Qualifications:
    Bachelors Degree required.
    Minimum 2 years work experience within legal function, law firm, or other professional services firm.
    Strong understanding and ability to administer billing systems (e.g. Legal Tracker, CounselLink, Serengeti); management of invoicing workflow between legal department, external counsel and finance team. If no experience with administering billing systems, a track record of learning and administering other SAAS platform(s).
    General knowledge of legal team operations, workflows and attorney/compliance responsibilities.
    Adept at managing and getting results without authority, while maintaining strict discretion, confidentiality and professionalism with all levels.
    Experience with MS Office including strong Excel and PowerPoint skills and interest to learn Power Platform technologies (e.g. PowerBI, Flow).
    Proficient with presentation creation, analyzing data and building reports.
    Clear communication (written and oral) to express ideas effectively in individual and group situations.
    Ability to influence and communicate with senior level Attorneys and other leaders.
    Results and goal-oriented while being very organized and detail-oriented.
    Enthusiastic attitude and willingness to contribute to overall department culture of collaboration.
