    Applications are invited for the position of ­­­­­­­­­­­­Scheduling Officer in the Enrolment Services Division, located at the Welland Campus. The starting salary is $38.01/hr (Pay Band I - $38.01 – for a 35 hour work week. Additional hours may be required as necessary. This is an Appendix D, temporary position as per Article of the Support Staff Collective Agreement and is set to commence in May 2024 and will conclude in May 2025. It may be subject to an extension by mutual agreement of the parties.

    Reporting to the Director, Enrolment Services, the successful candidate is the direct contact for all college wide room scheduling systems and processes. The successful candidate completes an extensive review and analysis of each term's data in order to create student and faculty timetables for over 130 programs.

    Responsibilities include, but are not limited to:

  • Scheduling of timetables for students, faculty, rooms, classes and events in all college facilities
  • Developing the academic schedules for both campuses and all offsite deliveries for the Spring, Fall and Winter terms
  • Identifying, analysing, recommending solutions and resolving timetabling issues with Deans, Associate Deans and Academic Business Managers; finding compromises and solutions to problems such as, determining the placement of courses from non vocational areas within a vocational area with forced activity
  • Executing change requests and implementing the modifications made in the scheduling software (infosilem Suite). Transferring all updates into PeopleSoft and Infosilem Enterprise to align all three systems with consistent data
  • Supporting changes to enrolment by advising the academic schools and Business Analysts in order to develop a plan to modify/create/remove academic blocks and course sections to ensure that all students are properly enrolled
  • Facilitating software upgrades and improvements to Infosilem's Suite and Enterprise systems with both ITS and the Infosilem Support Services
  • Developing reports to assist the Senior Administrators of the college in the analysis of space and how it relates to the management and development of new/existing program delivery
  • Preparing and conducting training sessions and workshops to improve the quality of the scheduling data to support desirable academic schedules
  • Creating and maintaining user roles and customization to support users
  • Qualifications:

  • Three (3) year post-secondary diploma or degree in Business Operations Management, Information Systems, Social Sciences, or similar field of study
  • Minimum three (3) years work experience in an academic administration environment
  • Competency with ERP, office tools, and familiarity with software used for scheduling, logistics and capacity planning
  • Strong experience in computer related applications including ability to understand application interfaces and implications of data transfer and consistency
  • Excellent communication skills
  • Analytical and problem-solving skills
