    About the Role:

    The Senior Facilities Specialist will provide facility management support of Wiley's Corporate Headquarters. Provide exceptional customer service to internal clients, maintain up-to-date policies and procedures and ensure a safe, clean working environment. Demonstrate fiscal responsibility and determine cost efficiencies within approved operational and capital budgets, manage maintenance contracts and ensure timely submittal of invoices. Maintain professional relationships with building management, vendors and colleagues at every level. Assist with projects throughout the facility as requested. Provide direction to Office Services Coordinators whose primary focus areas include proficiency in all aspects of internal space planning software, general office service tasks, coordination with building management and service vendors, coordination of select conference room bookings, invoice submission and special projects, as assigned.

    The individual will provide back-up coverage and dotted line support to the Manager - Office Services for mail room, reproduction and food services.

    How you will make an impact:
    • Coordinate and oversee the day-to-day facilities and office services departmental operations including minor capital project enhancements.
    • Coordinate and oversee onsite facility vendor and maintenance activities within Willey's Hoboken facility.
    • Create and maintain up-to-date training materials used to train new colleagues and act as reference point for colleagues within the department.
    • Conduct training of new team members on all functions of the Office Services Coordinator, including eProcure, Eptura and Service Now.
    • Maintain and ensure the highest levels of customer service across Wiley's hybrid workforce.
    • Collaborate with Facilities and Security as needed to understand, report and resolve issues to ensure continuity of service.
    • In conjunction with the Sr. Facilities Manager, Space Coordinators and Global Space Planning Specialist, organize and participate in office moves within the Hoboken space.
    • In conjunction with the America's Space Planning Specialist, act as subject matter expert for Eptura's implementation and maintenance throughout Wiley's global offices.
    • Collaborate with HR and IT to ensure timely and correct set-up of new hires' workstation and equipment.
    • Ensure contracts serve short- and long-term best interests of the company, staying within budgetary limits and expansion/disposition of the company.
    • Maintain accurate record keeping and replenishment of attic stock as needed.
    • Ensure clean, safe, storage areas that are in compliance with local codes.
    • Conduct special projects as directed by the Facilities Managers or Sr. Facility Manager.

    What we look for:
    • Bachelor's Degree
    • 5 years' experience in Facility Management and Office Services functions
    • Ability to multi-task in a fast-paced environment while effectively managing your time, prioritizing tasks and meeting deadlines.
    • Must be well organized and detail oriented with demonstrated effective follow-up skills.
    • Outstanding listening skills, with ability to synthesize information and recommend solutions
    • Ability to build relationships and understand client's needs and wants
    • Ability to work independently and problem solve.
    • Ability to provide outstanding customer service within all levels of the business.
    • Ability to balance the needs/requests of our internal customers (staff) and external customers (clients/vendors) with the decisions of upper management and the effects on appearance and organization.
    • This position will involve regular, and sometime heavy, physical activity including walking and moving about the office, bending, standing and stretching, and moderate to heavy lifting of items up to 50+ pounds.
    • Demonstrated ability to read and understand floor plans and schematic drawings.
