    Description

    Description:

    • Provides administrative support for Executive Directors in IT and in other groups and staff as the need arises.
    • Compile and processes various standard documents and correspondence.
    • Schedules calendar items and meetings, makes travel arrangements, process forms, enters data into required systems, and maintains records.
    • Edits and proofreads documents to ensure accuracy.
    • Exercises judgement and initiative and works under general guidance to accomplish a wide variety of tasks and projects, some of which are confidential in nature.
    • Generates and processes documents and forms, including editing, revising, and printing letters, tables, reports, and other materials.
    • Attends and takes minutes for various departmental and interdepartmental meetings.
    • Supports onboarding/exit activities for both internal and external staff.
    • Proactively manages calendars, schedules and coordinates meetings, appointments, conferences, interviews, etc.
    • Resolves routine administrative problems and answers inquiries concerning activities and operations of department/division.
    • Performs a range of staff and/or operational support activities, sometimes serving as a liaison with other departments on basic administrative matters.
    • Books travel and processes expense reports for department activities.
    • Orders, stocks, and distributes office supplies.
    • Orders food and other supplies for departmental activities as requested.
    • Provides backup support and coverage for other administrative coordinators.

    Skills & Qualifications:

    • Associates or BA preferred; 5+ years administrative experience with 2 years of (business function) industry experience is desirable.
    • Ability to work independently, multitask, self-motivated, well organized, detail oriented, able to prioritize, works effectively under pressure, and has excellent written and verbal communication skills.
    • Knowledge of MS Office, SharePoint, Concur, Visio
