    Position Purpose: The Transportation Coordinator plans, coordinates, and supports safe, reliable student transportation services for the district. The position works closely with parents and guardians, transportation service providers, school principals, and district leadership to ensure transportation operations align with district priorities and service expectations. The Transportation Coordinator represents the district and the Superintendent in all transportation-related matters and is responsible for maintaining professionalism, sound judgment, and consistency in decision-making.

    The Transportation Coordinator proactively seeks to understand the ideas, opinions, and skills of others while providing safe and efficient transportation services safely for all students.

       Responsibilities
    1. Coordinating and Monitoring Transportation Systems
        Priority: Essential | Percent of Time: 30%
        Examples of this work include:

    • Collaborates with transportation vendors and district leadership to develop, adjust, and monitor bus routes, schedules, and stops.
    • Maintains routing software to develop accurate route maps for drivers, schools, learners, and families in accordance with District policy.
    • Ensures each bus stop is in the safest location practicable.
    • Maintains regular communication with transportation vendors to ensure efficient day-to-day operations and proactively addresses issues.
    • Coordinates with Student Support Services to provide reasonable, safe, and prudent transportation services in compliance with the Individuals with Disabilities Education Act (IDEA) and Free and Appropriate Education (FAPE).
    • Manages transportation needs for all District programming including regular education, special education, field trips, activities, foster care, placement, homeless services, and grant-funded programs.
    • Assesses transportation incidents, complaints, or accidents, keeping district leadership informed, and recommending necessary corrective actions and follow-up with needed communication.
    • Continuously evaluates transportation services and recommends operational or efficiency improvements.
    • Works collaboratively with district leadership to recommend school delays, closures, or temporary route suspensions due to weather or driver shortages and provides public communication as needed.

    2. Resolving questions or issues posed by stakeholders
        Priority: Essential | Percent of Time: 30%
        Examples of this work include:

    • Responds to and resolves transportation concerns raised by parent/guardians, learners, or district and school leadership.
    • Assists parents or guardians in identifying the appropriate transportation options for their child.
    • Establishes and maintains positive public relations and a customer service focused approach with all transportation stakeholders.

    3. Collaboration & Support
        Priority: Essential | Percent of Time: 30%
        Examples of this work include:

    • Leads monthly transportation meetings with bus vendor and district leadership, developing agendas in advance based on identified needs and concerns from stakeholders.
    • Develops and maintains positive and effective working relationships with learners and staff.
    • Researches transportation issues and concerns, recommends solutions, and when necessary, rides bus routes to verify concerns.
    • Collaborates with district leadership on boundary change proposals by using routing software to generate maps and analyze the student demographic impact of proposed changes.

    4. Budgeting, Reporting & Compliance
        Priority: Essential | Percent of Time: 10%
        Examples of this work include:

    • Works proactively with the Business Department to develop and maintain the transportation budget.
    • Prepares and provides reports on transportation activities, expenditures, learner counts, and mileage breakdowns.
    • Oversees the transportation contract with the bus vendor and monitors compliance.
    • Submits all transportation state reports accurately and on time.
    • Ensures compliance with federal and state rules and regulations and district policies as they relate to transportation.
    • Ensures bus safety training is completed each fall for elementary K-2 students.

    Knowledge, Skills, and Abilities
    Minimum Qualifications

    • Bachelor Degree or 3 years of experience in a related field.
    • Strong customer service skills.
    • Strong attention to detail and ability to manage multiple projects at once.
    • Demonstrated experience working independently.

    Preferred Qualifications

    • Bachelor's degree in business information or transportation logistics.
    • 3 or more years' experience in school related transportation operations.

    Internal and External Clientele and Purpose of Contact

    The Transportation Coordinator frequently engages with a wide range of internal and external stakeholders to address concerns, questions, and feedback related to student transportation. Effective communication requires the ability to listen attentively without interruption, maintain a calm and positive demeanor, and respond with empathy, clarity, and professionalism, including in high-pressure or emotionally charged situations.

    At times, the position may be required to implement decisions or actions that reflect a learner's specific need, even when those decisions differ from standard practice. In all interactions, the Transportation Coordinator must balance individual concerns with the broader interests of the district while exercising discretion and representing the district's values and expectations.

    Problem Solving  

    The Transportation Coordinator regularly addresses complex and time-sensitive issues involving student safety, service reliability, staffing, routing, and stakeholder concerns. These issues often require balancing competing interests, incomplete information, and operational constraints while maintaining compliance with district policies, contractual obligations, and applicable laws and regulations.  The position requires the use of sound judgment to evaluate options, anticipate impacts, and implement or recommend solutions that best serve the overall interests of the district, including in situations where no ideal solution exists.

    The Transportation Coordinator operates under the general direction of the Chief Operating Officer while exercising independence in designing, developing, and troubleshooting district transportation operations. The position is expected to make day-to-day decisions, prioritize work, and resolve issues without close supervision, while escalating matters involving policy, budget, or district-wide impact. The role requires initiative, accountability, and the ability to balance multiple projects and competing priorities.

    Physical Requirements 

    Work in this position is primarily sedentary, involving frequent sitting, computer use, and communication with others. Occasional standing, walking, and lifting of items up to 50 pounds may be required when working with equipment or during system installations. The role demands frequent use of hands for typing and manipulating technical components, as well as regular verbal and auditory communication.

    Work Environment

    The work environment is typically quiet and performed indoors in an office or technology setting. The position may occasionally require travel within the district to support on-site system integration projects.
