    PRIMARY DUTIES & RESPONSIBILITIES

    The Support Specialist Executive within the Chief's Office performs a variety of clerical duties with highly visible contact. This position requires the utmost confidentiality.

    The hiring hourly range for this position is $ $35.61 hourly.

    OVERVIEW OF POSITION / DEPARTMENT
    The Support Specialist Executive within the Chief's Office performs a variety of clerical duties with highly visible contact. This position requires the utmost confidentiality.
    • Prepares, issues, and monitors departmental documents requiring technical and advanced knowledge of departmental functions
    • Coordinates travel arrangements for Department personnel
    • Processes Department personnel orders
    • Administrative support to the Chiefs and Executive Staff
    • Processes confidential information
    • Maintains, tracks, and reconciles monthly purchasing card transactions
    • Takes, prepares, and distributes minutes of meetings
    • Schedules and maintains calendars of activities and meetings
    • Schedules conference rooms
    • Takes and transcribes dictation
    • Develops and maintains complex record-keeping and reporting systems
    • Assists in researching, gathering, compiling, and preparing a variety of materials for technical and analytical reports
    • Receives and responds to requests for information including Council and Management requests
    • Maintains, modifies, and updates database information for specialized departmental functions
    • Assists in preparations for department special events
    • Drafts, edits, proofreads, and prepares correspondence
    • Creates reports, graphs, and presentations, some of which may be confidential
    • Provides additional complex administrative support
    • Additional duties as assigned
    MINIMUM QUALIFICATIONS & WORKING CONDITIONS

    Education:
    • HS Diploma or GED
    Experience:
    • 3 years of general clerical experience including data entry and customer service experience
    Preferred Qualifications:
    • Strong skill set with demonstrated proficiency
    • Previous support of executive-level staff
    • Intermediate to advanced knowledge of MS Outlook
    • Intermediate to advanced knowledge of MS Office (Word/Excel/PowerPoint)
    • Purchase Card procedures
    • Bilingual in Spanish
    Knowledge:
    • Knowledge of office practices and procedures
    • Manual and computer filing systems
    • Advanced knowledge of business English, spelling, and math
    • General office equipment, and personal computer with related software applications
    Skills:
    • Efficiently and accurately key information using a keyboard and skills in performing data entry
    • Strong interpersonal and organizational skills
    • Composition grammar and spelling
    • Demonstrate proficiency in computer applications including word processing, spreadsheets, report generation, and maintenance of databases.

    WORKING CONDITIONS
    • Occasional Standing/Walking- Occurs up to 31 minutes to 2.5 hours per shift; in rare instances (i.e. community events) standing/walking occurs up to 8 hours per shift.
    Essential Personnel:
    • When a local announcement of emergency or disaster is declared by the city, all City of Aurora employees may be required to work as essential personnel.
    Physical Demands:
    • Medium work that involves moving no more than 50 pounds with or without assistance at a time
    • Frequent lifting, carrying, walking and standing
    • Hand/eye coordination to operate a computer keyboard
    • Vision to read and interpret reports, documents, and other written information
    • Frequent speech communication and hearing to maintain communication with employees and citizens
    Work Environment:
    • Works primarily in a clean, comfortable office/cubicle environment with shared equipment
    Equipment Used:
    • Frequently uses computer keyboard and telephone, fax machines, and copier
    • This position may require the incumbent to occasionally use personal equipment (e.g., vehicle, cell phone, tools, etc.) in the course of their employment
