    Position Title: HR Administrative Associate

    Department: Chemistry Department

    Supervisor: Faculty Affairs / Human Resources (FA/HR) Manager

    Stanford, CA

    Position Type: 4 hours a day, 5x a week, part-time; Hybrid (3x a week in office)

    Pay rate: $24hr-$26hr

    Job Purpose: Provide administrative and operational support under general supervision.

    Core Duties:

    • Respond to Inquiries: Address inquiries and take appropriate action as necessary, serving as a resource for defined policies and procedures.
    • Coordinate Events: Organize and manage conferences, seminars, and events, including vendor recommendations, material production, logistics coordination, and vendor liaison.
    • Draft Communications: Create routine communications, coordinate document production, and facilitate dissemination of materials such as presentations, course handouts, reports, and brochures.
    • Calendar Management: Plan and manage calendars, resolve conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
    • Financial Transactions: Process and monitor routine financial transactions, including researching and resolving discrepancies.
    • Office Management: Maintain office supplies and equipment, coordinate office moves, and handle general maintenance, health, safety, and facility concerns.
    • Website Maintenance: Ensure approved content is maintained on relevant websites.
    • HR Support: Provide transactional HR support such as time cards, I9s, and/or faculty affairs support as needed.
    • Supervision: Guide and train student and contingent workers, including task assignment, workload prioritization, and quality review.
