    ADMINISTRATIVE ASSISTANT NEEDED in Stonington, CT This position will start out on a temporary basis, approximately 24-28 hours per week, between the hours of 7am - 5pm.

    Any candidates presented but be flexible with the schedule, Monday through Friday, between these hours. This role does have potential for more hours as well, and possibility of temp-to-direct hire.


    This role is working for a statewide Utility Company, and they are specifically seeking someone with EXCELLENT MS Excel skills (creating and editing advanced PIVOT Tables and reports), and the ability to create and edit business letters to customers in MS Word.

    Summary:


    Provide Administrative support to the Operations manager, with treatment and distribution systems operations, personnel management, purchasing and payment of vendors, system performance data analysis and reporting, and event/meeting scheduling, logistics and reporting.


    Duties:
    Use the company data system and send notification letters to customers regarding appointment scheduling

    Track compliance with letter requests and send notices of non-compliance as necessary, as well as tracking of completion of services and changes.

    Create and update work order notifications for routine events.
    Assist staff members with completing expense reports.
    Create procurement requests for goods and services needed, per staff members needs and manager's direction.
    Verify receipt of goods/services and process vendor invoices for valid/fulfilled orders for payment.
    Update tracking spreadsheets for key performance metrics.
    Track completion of assigned work orders by staff members and bring manager's attention to incomplete overdue work orders.

    Schedule meetings, arrange venue audio/visual logistics, take meeting notes, and publish meeting minutes and tasking per direction from operations manager.

    Other administrative duties as assigned by the Division operations manager.


    Requirements:
    MS Office suite; Advanced Word and Excel, and proficiency with PowerPoint and Outlook
    Ability to pick up on provided training on the use of purchasing/work order databases and processes

    Prior Administrative experience with ability to multi-task, work in a fast paced setting, and provide high level support to Management, field techs and other staff.

    Exhibit professionalism at all times; must be reliable, on time, and able to provide excellent customer service over the phone as well as via email and/or mail correspondence.
