Administrative AssistantAs an Administrative Assistant you will be supporting contracts operation with physical and/or administrative tasks. You will also perform standard and advanced secretarial duties. May work for one or more individuals in support of a department, project, or contract. Assists manager with administrative responsibilities.
Position requires superior administrative and organizational skills, a thorough knowledge of practices and procedures of the function, company policy and procedures.
Supports a multiple departments or multiple managers.Location:

Salary:
$45,100 to $65,100

You Challenge
Manages incoming and outgoing communication.
Contracts administration support
General office support functions
File and record management
Supports calendar and schedule coordination for facility and sometimes for various individuals.
Helps to organize conferences and meetings, sometimes involving large number of attendees or complex arrangements.
Supports and/or maintain expense reporting database and process.
Creates and maintains a wide variety of documents (often complex) such as reports, spreadsheets, presentations that require expert knowledge of several software programs; often composes first drafts of documents.
Maintains and processes timecard records for various departments/personnel and facility's daily roster report.Orders and maintains office supplies.
Supports senior staff with the collection of information for security records.
Supports senior staff with project database maintenance, purchase order requisitions, communication records file management.
Interact with facility visitors and maintain accurate records of events. Such as personnel verification and ensuring PPE is available.
Maintains digital signage / communication records for facility.
Responds to requests, distributes correspondence, circulates information, etc., to other staff as needed.
What You Bring
High School Diploma or Equivalent
2+ years of experience in a similar role
Proficiency and experience using Adobe and Microsoft Office tools such as Reader, Excel, Word, etc.
General knowledge of office management practices and procedures
Ability to operate standard office Equipment, including but not limited to computer, printer, copy machine, etc.
Ability to lift 25 lbs.
Must be able to communicate effectively and follow procedures and instructions.
Experience using MRP/ERP systems such as Oracle (or equivalent)
