    The Convention Manager is the primary client point of contact for logistics management for Client Conventions. Independently Manages Convention logistics through the implementation of strategy, delivery of objectives and logistics execution while effectively working with clients and service partners. Responsible for coordination of all program planning, while providing unparalleled levels of customer service on all events. Works closely with clients to understand and meet program objectives/outcomes.

    Manages an estimate of 15-20 Conventions annually

    Reporting and Working Relationships

    Reports to Director, Operations.

    Working relationship with clients and third party suppliers. Interacts with internal departments including, but not limited to, Sourcing, Operations, Guest Services, Creative, Event Registration Solutions, Supplier Relations, Accounting, Sales, and Event Operations.

    Primary Responsibilities

    60% PROCESS MANAGEMENT: Serves as primary point-of-contact for project stakeholders. Provides consultative strategy, design and planning to clients and service partners responsible for planning and execution. Outlines deliverables for assigned event. Completes overall project timeline, event workbook and communication plan that outlines all specifics and requirements. Facilitates prompt and accurate handling of all details. Utilizes business program/event management system to manage project from contract turn-over meeting to final bill completion. Communicates between suppliers and clients. Works with accounting to complete final bill, reviews final billing prior to final invoicing to client. Maintains accurate records, system input, and complete file management as outlined in applicable policies and procedures. Coordinates logistics and helps guide clients through the event planning process. Communicates logistics and tasks promptly and accurately via internal systems and processes. Facilitates prompt and accurate handling of all details. Coordinates and attends site inspections, as needed. Maintains proactive, positive, open line of communication with client to ensure understanding of expectations and client satisfaction.

    Manages the following Convention Scopes of Services, but not limited to: Housing, Food/Bev inclusive of off-site receptions, Budgets, Web Registration Builds, Onsite-Support

    20%RELATIONSHIP MANAGEMENT: Day to day client contact and works closely with client to ensure objectives are executed. Maintains proactive, positive, open line of communication with client to ensure understanding of expectations and client satisfaction. Conducts regularly scheduled status meetings with client and stakeholders from pre-launch through program/event operation.

    20%FINANCIAL MANAGEMENT: Responsible for capturing and updating business management systems with accurate financial information as needed. Manages overall program budget, reviews and audits all program related billing for accuracy. Tracks and reports expenses to clients and communicates changes to them on a consistent basis. May initiate and reconcile supplier payments.

    Qualifications

    • Sourcing and site selection experience is a plus.
    • College degree preferred.
    • Minimum of five years of experience in project, event or meeting management, at least 2 of which are in procurement, required. Experiences in hotel buying required.
    • Proven negotiation skills. Knowledge of domestic hotels and destinations required international a plus. Knowledge of travel supplier operations, overall capabilities/range of services.
    • Program management system experience preferred, especially with an online sourcing tool. Operations experience in hospitality industry or equivalent a plus. Prior successful experience in developing and maintaining key client and supplier relationships. Prior experience in effectively handle multiple projects/demands. Strong knowledge of program/event management and budget maintenance.
    • Proven aptitude for technology and/or software solutions and analytical skills required.
    • Ability to travel by airplane, boat, rail and/or car.
    • CMP designation a plus.
