    Job Summary

    The Office of the Vice President of Administration and Chief Financial Officer is seeking a Senior. Administrative Assistant to support this office providing administrative assistance and coordination of all administrative office procedures within the department.

    The ideal candidate will be responsible for managing the Vice President's schedule, facilitating communication, and assisting in various administrative tasks to ensure the efficient functioning of the office.

    The Senior Administrative Assistant must possess leadership and management ability, be able to work in a highly confidential environment, the ability to work independently with sound judgment, provide quality service internally and externally, and manage multiple priorities.

    The incumbent in this role must be organized, a team player, be able to interact with diverse groups of people, work under pressure and meet tight deadlines.

    Proven experience in an executive environment managing complex and routine administrative work with knowledge of office procedures and practices.


    Job Duties:

    Responsibilities include, but are not limited to:

    • Provide administrative support for the Vice President of Administration and CFO
    • Support the daily operational and administrative functions for the Office of the Vice President of Administration & Chief Financial Officer. Order supplies for Office of Administration, which includes Bursar's Office, Campus Safety and Security, Budget & Accounting and Human Resources.
    • Reserve all non-class space usages on Downtown campus and serves as backup to reserve spaces on other campuses when the primary person is not available.
    • Reserves and coordinate space rental of all non-college (outside groups) use of facilities on all campuses.
    • Review ProCard for all usage including food purchases made by other groups.
    • Manage college vehicle reservations and maintain updated driver certification forms.
    • Manage gas receipts of purchases for all college vehicles.
    • Manage active calendars, scheduling meetings and speaking engagements, and special events.
    • Act as point of contact for other executive administrators, as well as for internal and external constituents.
    • Reconcile procurement card and monitor budgets.
    • Perform related duties based on departmental need.

    Minimum Qualifications:
    Associate's degree (related field) and three years related work experience, or equivalent. Experience in higher education is a plus. Excellent people skills, with experience collaborating in a multi-disciplinary, diverse, and dynamic team. Effective written and oral communication skills with a keen attention to detail. Solid interpersonal skills and a strong customer service focus.


    Preferred Qualifications:
    Experience with using Microsoft Office, particularly Outlook, Word, Teams, and Excel are necessary. Preference will be given to individuals with experience in online database systems such as PeopleSoft.
