    The Intake Coordinator/Scheduler plays a crucial role in ensuring efficient and effective client services. This full-time position involves coordinating and scheduling appointments for clients, providing excellent customer service, and collaborating closely with other scheduling staff. The successful candidate will contribute to maintaining a positive experience for our clients while adhering to established procedures.

    Responsibilities

    1. Appointment Scheduling:
      • Coordinate and schedule appointments for clients based on availability, preferences, and urgency.
      • Utilize scheduling software or systems to manage appointments efficiently.
      • Ensure accurate data entry and maintain up-to-date appointment records.
    2. Client Communication:
      • Provide exceptional customer service to clients via phone, email, or in-person interactions.
      • Answer inquiries related to appointments, services, and general information.
      • Address client concerns promptly and professionally.
    3. Collaboration:
      • Work closely with other scheduling staff to optimize appointment availability.
      • Communicate effectively with colleagues to ensure seamless coordination.
      • Participate in team meetings and contribute to process improvements.
    4. Documentation and Record Keeping:
      • Maintain accurate records of client appointments, cancellations, and rescheduling.
      • Update client profiles with relevant information.
      • Prepare reports as needed for management.
    5. Quality Assurance:
      • Monitor appointment schedules to prevent conflicts and minimize wait times.
      • Identify areas for improvement in scheduling processes.
      • Strive for excellence in client satisfaction.
    6. Compliance:
      • Adhere to privacy regulations (e.g., HIPAA) when handling client information.
      • Follow organizational policies and procedures related to scheduling and client interactions.

    Qualifications

    • Education: High school diploma or equivalent (additional relevant certifications are a plus).
    • Experience:
      • Prior experience in appointment scheduling, customer service, or a related field preferred.
      • Familiarity with scheduling software or tools.
    • Skills:
      • Excellent communication skills (verbal and written).
      • Strong organizational abilities and attention to detail.
      • Ability to multitask and prioritize effectively.
      • Proficiency in using computer software (e.g., Microsoft Office, scheduling platforms).
