    Role Overview:

    The Administrative/Billing Coordinator will support the Billing Manager with the monthly billing process. This position provides financial, clerical and administrative support to the accounting department through combinations of calculating, posting and verifying financial data for use in maintaining accounting records.

    Key Responsibilities:
    • Generate and distribute monthly billing reports to multiple offices throughout the U.S.
    • Generate monthly client invoices based on direction from Project Managers and Principals to ensure invoices are accurate and timely
    • Distribute client invoices via e-mail, USPS, or upload via websites
    • Troubleshoot and adjust invoices based on client and Project Manager/Principal feedback
    • Review and manage Work in Progress
    • Accurately update client data into accounting system to ensure accuracy when invoicing
    • Assist Controller with timely month end close
    • Follow established work rules, policies and procedures
    • Actively engages with other members of the company to continuously strive to improve processes, create efficiencies, and reduce cost
    • Cooperatively takes on other duties, roles or responsibilities as assigned
    Qualifications:
    • 3+ years administrative experience. Bookkeeping experience preferred but not required.
    • Computer proficiency with MS Office products, and Internet
    • Hands on experience using computer-based accounting programs
    • Must be detail oriented and pay close attention to accuracy
    • Demonstrated ability to effectively handle confidential information
    • This is not a remote position and will require on-site presence in office
    • Communication skills: Works with team members at various levels of the organization both internal and external.
    Preferred Skills:
    • Team oriented, professional, self-starter, with positive attitude and multi-tasking capability
    • Highly organized with an ability to multi-task and work under minimal supervision
