    Description

    We are partnering with a law firm seeking a highly organized and detail-oriented Legal Secretary to join their team and provide exceptional support to their attorneys. You'll play a key role in ensuring smooth daily operations, managing correspondence, preparing legal documents, and coordinating travel arrangements. This position offers the opportunity to work on complex legal matters in a fast-paced environment.

    *Hybrid Work Arrangement: Following a 90-day probationary period and upon reaching proficiency in training, employees have the option for a hybrid schedule, permitting up to two days of telecommuting per week.

    Responsibilities:

    • Communication and Correspondence: Draft and proofread emails and letters for attorneys. Manage contact lists and ensure accurate communication. Prepare client meeting minutes and reports.
    • Timekeeping and Billing: Maintain accurate time records for assigned attorneys, adhering to firm guidelines. Submit bi-weekly time edits for review and approval.
    • Expense Management: Prepare and submit detailed expense reports for attorneys, ensuring proper categorization and LM-10 tracking.
    • Travel Arrangements: Organize and book airfare, hotel, and ground transportation for assigned attorneys. Consider attorney preferences and client practices while planning travel. Create contingency plans for unforeseen circumstances.
    • Document Management: Manage document filing and retrieval according to firm procedures. Organize and prioritize materials for attorney review, anticipating their needs.
    • Calendar Management: Maintain the firm's public calendar and the assigned attorney's calendar, scheduling meetings and appointments upon approval.
    • Additional Responsibilities: Provide backup support to other legal secretaries as needed. Assist with high-priority tasks and overflow work.

    Qualifications:

    • Minimum 2-3 years of experience as a Legal Secretary or similar role.
    • Strong organizational skills, time management skills, and attention to detail.
    • Excellent communication and interpersonal skills.
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
    • Ability to work independently and take initiative.
    • Knowledge of legal terminology a plus.
