- Communication and Correspondence: Draft and proofread emails and letters for attorneys. Manage contact lists and ensure accurate communication. Prepare client meeting minutes and reports.
- Timekeeping and Billing: Maintain accurate time records for assigned attorneys, adhering to firm guidelines. Submit bi-weekly time edits for review and approval.
- Expense Management: Prepare and submit detailed expense reports for attorneys, ensuring proper categorization and LM-10 tracking.
- Travel Arrangements: Organize and book airfare, hotel, and ground transportation for assigned attorneys. Consider attorney preferences and client practices while planning travel. Create contingency plans for unforeseen circumstances.
- Document Management: Manage document filing and retrieval according to firm procedures. Organize and prioritize materials for attorney review, anticipating their needs.
- Calendar Management: Maintain the firm's public calendar and the assigned attorney's calendar, scheduling meetings and appointments upon approval.
- Additional Responsibilities: Provide backup support to other legal secretaries as needed. Assist with high-priority tasks and overflow work.
- Minimum 2-3 years of experience as a Legal Secretary or similar role.
- Strong organizational skills, time management skills, and attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and take initiative.
- Knowledge of legal terminology a plus.
