    GENERAL SUMMARY/ OVERVIEW STATEMENT:


    This Operations Project Manager oversees the operational aspects of the Center for Innovation in Digital HealthCare (CIDH) within the Mass General Hospital Research Institute.

    The Center for Innovation in Digital HealthCare has been established to provide guidance, support, advocacy, and promotion for the MGH research and innovation community relative to all activities in data and digital healthcare.

    The CIDH team provides a clear voice as well as a strong identity for researchers, clinicians, and innovators seeking to experiment and commercialize internally developed innovations, and to create new funding opportunities to sustain these activities.

    Under the direct supervision of the Senior Program Director, the Operations Project Manager's responsibilities will include oversight of all operational aspects of CIDH's portfolio of services.

    This position will require a wide degree of independent judgment and process development/improvement abilities.

    The Operations Project Manager will contribute to the Center's initiatives by leading process improvement and project management, supporting office software integration, tracking team progress and key performance indicators, analyzing data trends, preparing project plans, and coordinating implementation.


    PRINCIPAL DUTIES AND RESPONSIBILITIES:


    The Operations Project Manager will lead administrative office activities for the Center for Innovation in Digital HealthCare, collaborating with cross-functional project leads to manage multiple, complex projects and ensure adherence to project guidelines and best practices.

    The ideal candidate will be results-driven, passionate about CIDH's mission and initiatives, skilled in process improvement and critical thinking, and possess strong attention to detail and interpersonal skills.

    Collaborates with CIDH department leadership to develop the pipeline of initiatives. Developing high-quality deliverables in support of key strategic initiatives.
    Conducts assessments of CIDH operations and serves as an internal consultant by researching best practices and recommending process improvements.

    Develops detailed internal project plans including identification of stakeholders, assessment of resource needs, and implementation of milestones, budgets, and timelines.

    Works with several CIDH teams, such as the Research Innovation Acceleration Team (RIAT), Hospital Integrated Research Organization (HIRO), and the Strategic Alliance Initiative (SAI) outreach team, to provide support on office workflows, file structure and organization, and software integration.

    Observe and map out workflows of process diagrams.
    Identifying key project resources and ensuring their adherence to the project plan.

    Helps to guide the team on office process design and implementation, including drafting and teaching standard operating procedures, and improving the office's administrative organization.

    Oversees the facilitation of CIDH office best practices regarding continuous improvement including meeting scheduling, agenda setting, note taking, action item follow-up, and file storage practices.

    Oversees process improvement for new employee and POI onboarding and training.
    Supports management of CIDH teams by mentoring and coaching on work best practices.

    Manages the creation of monthly key performance indicator reports to monitor performance and track progress towards goals, helping to facilitate process improvement initiatives to reduce inefficiencies and increase net revenue.

    Assists with data analysis, monthly and annual reporting, and ensures that CIDH is meeting general goals and commitments.
    Acts as a team supervisor providing day-to-day guidance on office administrative tasks and workflows.
    Communicates project status and manages system change requests.
    Manages issues including prioritization, resolution tracking, and communication of critical issues.

    Supports scoping and budgeting of projects while working closely with internal managers, directors, and leaders as well as external project teams (where applicable).

    Maintains Administrative Standard Operating Procedures documentation, improving efficiencies as needed. Oversight of general operational flow for all CIDH Operations.
    Possible projects include but are not limited to: workflow and software system upgrades and enhancements; and increased capacity management.

    EDUCATION:

    Required:
    Bachelor's Degree


    Preferred:
    Master's Degree


    LICENSES, CERTIFICATIONS, and/or REGISTRATIONS:
    Project Management Certification (preferred)
    Process Improvement Certification (preferred)


    EXPERIENCE:

    Preferred:
    2-5 years of experience in hospital or other healthcare environment
    7-10 years of overall work experience
    Project Management Professional (PMP) or Process Improvement certification preferred.


    SKILLS & COMPETENCIES REQUIRED:
    High-quality analytical and problem-solving skills
    Exceptional interpersonal and communication skills (written and verbal) required; editing experience a plus.
    Must have a track record of success in accomplishing projects.

    Develop relationships and collaborate effectively with employees at all levels of the hospital, while paying attention to detail, focusing on customer needs, and being flexible with ambiguity, changing priorities, and unexpected events.

    Ability to work independently and collaboratively in a cross-functional team environment.

    Proficiency in office software and project management applications such as Microsoft Office applications (e.g., Excel, PowerPoint, Visio, Word, OneNote, SharePoint, Teams, Outlook), Zoom, and cloud file storage applications.

    Experience with Salesforce, Insight, and PeopleSoft a plus.
