    Job Title: Project Coordinator

    Location: Richmond, Virginia

    What the Role Involves:

    This role will report to the Coordination Manager.

    • Collaborate with other Project Coordinators and Project Managers on daily tasks.
    • Achieve financial objectives by forecasting requirements, managing expenditures, identifying efficiencies, analyzing variances, and taking corrective actions.
    • Supervise subcontractor progress billings, including lien releases.
    • Coordinate equipment delivery and schedules for projects with Contractors.
    • Work closely with the project team to track RFQs and orders, tasks, and project assignments.
    • Order and monitor project parts.
    • Maintain effective communication with PMs and Subcontractors to ensure timely and efficient job completion, communication, and proper documentation throughout the project lifecycle.
    • Engage in data entry, scheduling, as well as hosting conference calls and webinars.
    • Stay in touch with sub-contractors, vendors, and customers.
    • Collaborate with other departments beyond the PM group, such as finance, shipping and receiving, scheduling, sales, and install teams as projects necessitate.
    • Draft and issue project proposals, RFPs, budgets, change orders, and preliminary schedules for PM approval.
    • Acquire knowledge of construction notice of commencement NOC documentation and job permitting documentation.
    • Generate Contracts, Letters of Intent, Purchase Orders, etc.
    • Offer regional support by fostering and maintaining positive relationships with internal departments, customers, and vendors for estimating programs and projects.
    • Monitor and handle change orders.
    • Ensure all essential project closeout documents are acquired.

    Basic Qualifications:

    • High school diploma, college education, or equivalent experience.
    • Two to four years of experience in projects-related or administrative/office roles.

    • Proficiency in working independently and collaboratively in a team-oriented environment is essential.
    • Experience in creating agendas, correspondence, documentation, and presentations.
    • Proficient in Microsoft Office Suite - Outlook, Excel, Word, and Power Point, with the ability to learn other computer applications (Vista Viewpoint and Procore).
    • In-depth understanding of Job Cost Accounting.
    • Strong multitasking abilities.
    • Excellent problem-solving skills to address customer issues and escalate when necessary.
    • Commitment to follow-up and follow-through is crucial.
    • Adaptable during periods of change.
    • Persuasive, encouraging, and motivating demeanor.
    • Exceptional customer service skills.
    • Strong written and verbal communication skills, adept at effective communication at all organizational levels and with third parties.
    • Skilled in prioritizing and executing tasks in high-pressure environments, adept at promptly and efficiently managing project adjustments and alterations.
    • Proficient in preparing and utilizing excel spreadsheets, basic calculations, and formulas.
