    Position Overview:


    We are seeking a Client Care Coordinator to join our team on a part-time basis with a hybrid work arrangement.

    The Client Care Coordinator will play a pivotal role in ensuring a seamless experience for clients from their initial contact as they ensure that clients are appropriately referred to the best-fitting therapist.

    This role requires exceptional communication skills, attention to detail, and a commitment to providing excellent customer service.


    Responsibilities

    First Point of Contact:


    • Serve as the initial point of contact for new clients via phone, email, and in-person inquiries
    • Respond promptly and courteously to client inquiries, providing information about our practice, services offered, and scheduling availability

    Consultation Calls:


    • Conduct initial consultation calls with prospective clients to gather relevant information and assess their needs
    • Clearly explain our intake process, therapy services, and practitioner specialties to potential clients
    • Schedule appointments for clients with appropriate therapists based on availability and client preferences
    • Track inquiries and consultation conversion rates
    • Occasional lead generation

    Billing and Insurance:


    • Manage all aspects of billing, including invoicing clients for services rendered and processing payments
    • Assist clients with insurance-related inquiries and explain out-of-network benefits
    • Prepare and submit out-of-network insurance claims on behalf of clients, ensuring accuracy and timeliness
    • Maintain organized records of billing, including documentation of client payments and insurance submissions

    Administrative Support:


    • Collaborate with therapists and administrative staff to ensure efficient scheduling and client coordination
    • Support efforts to collect data and make practice improvements with the goal of increasing client satisfaction
    • Maintain confidentiality of client information and adhere to ethical and legal standards in handling sensitive data
    • Assist with other administrative tasks and special projects as needed to support the smooth operation of the practice, such as organizing mail, supply tracking and ordering, managing staff's utilization of office space, ensuring optimal utilization of office hardware, etc.

    Schedule and Compensation:


    • This position is part-time, offering approximately 15-25 hours per week, with a hybrid work arrangement (combination of remote and in-office work)
    • Compensation will be competitive and commensurate with experience
