    Administrative Assistant to the District EL Coordinator/Title III Program

    This is a 10-month administrative assistant position that supports the District EL Coordinator/Title III Program.

    Essential Duties and Responsibilities:

    1. Work cooperatively with colleagues, supervisors, and administrators.
    2. Demonstrate ethical behavior.
    3. Engage in self-development.
    4. Follow district policies and administrative rules and regulations.
    5. Maintain appropriate behavior and confidentiality related to performing and accomplishing assigned duties.
    6. Adhere to federal guidelines regarding policies and procedures for the Title III program.
    7. Maintain Title III Program documentation and organize and disseminate information to the appropriate individuals.
    8. Assist the EL Coordinator in completing reports as required, including gathering information, typing reports, obtaining signatures, and mailing by deadline.
    9. Maintain up-to-date students' records for the Title III program, working with school data managers, PowerSchool administrator, NC DPI Data Manager, and third-party providers such as ELLevation.
    10. Maintain up-to-date inventory records for the Title III program, working with school bookkeepers and fixed asset coordinators.
    11. Prepare Annual Title III Handbook.
    12. Assist parents seeking information regarding the Title III Program.

    Additional Duties and Responsibilities:

    1. Maintain and keep all files current.
    2. Assist and type reports as required.
    3. Gather, file, and disseminate information as required.
    4. Assist in keeping a true and accurate record of all accounts and budgets as needed.
    5. Process purchase requisitions and purchase orders as needed.
    6. Greet visitors and staff with a positive attitude and respond to their needs.
    7. Receive and place telephone calls and provide telephone support for the Receptionist.
    8. Assist in preparing the handbook, program forms, and evaluation of data.
    9. Perform other tasks deemed necessary and appropriate by the immediate supervisor and/or the Superintendent.
    10. Project overall concern for personal appearance as it relates to job performance.

    Qualifications:

    1. High School diploma or GED.
    2. Fully bilingual English/Spanish.
    3. Experience as a secretary or equivalent work; demonstrated knowledge of office procedures and current technology; typing/keyboarding, general accounting procedures, Excel, and other secretarial skills.
    4. Experience with PowerSchool and ELLevation is a plus.
    5. Suitable alternatives to the above qualifications as the Superintendent may find acceptable.

    Working Environment:

    The usual and customary methods of performing the job's functions require some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Work in this classification is considered light physical work requiring the exertion of up to 20 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects. Generally, the job requires sitting, walking, and standing. This job is performed in a generally clean and healthy environment.
