    Supervisory responsibilities: No

    Location: 13203 Murphy Rd., Stafford, TX with potential to work from home for up to 1 day per week, depending on business needs after 90 days of employment)

    Schedule: Monday-Friday, 8:00 AM - 5:00 PM. This is an exempt position. Evening or weekend work may be necessary at the time of high-volume work seasons.

    PTO: Four weeks of paid time off per year.

    Introduction:

    This is not a typical Human Resources position. This position is not people focused but more system based. It would be a great fit for someone who is technologically savvy, prefers to work with systems rather than constant interaction with people, who enjoys mathematical equations and is intrigued by puzzle solving.

    Position Summary/objective:

    This position will serve as the payroll processing and HRIS subject matter expert, while being responsible for providing technical support for the development, configuration and ongoing management and enhancement of the Workday system and other electronic systems supporting the Human Resources functions. Secondary objectives of the position will include compliance with all state federal and state payroll laws. While this is a technical, payroll and compliance focused role, there are functions that are employee facing, and there is an expectation that the employee response is friendly, fast (preferably immediate and no later than end of day) and of value (helpful).

    Essential functions:
    • Continuously learns the company's HRIS system and serves as a secondary Subject Matter Expert (SME) for the company. Serves as a first point of contact for system troubleshooting, system maintenance, and employee/manager task guidance and support.
    • Escalates system issues of higher severity and complexity in a timely manner.
    • Under close guidance of the Associate HR Manager, implements system changes and updates, including changes to business processes, reports, and payroll related earnings/deductions and setup.
    • Responsible for the initiation and review/approval of HRIS processes and tasks including new hire feedback, performance reviews, and document distributions. Completes weekly review of outstanding business processes throughout the company and communicates with employees and managers to ensure completion.
    • Responsible for second HR Partner approval of tasks within the HRIS preferably immediately and no later than end of day. Reviews submissions before approval for accuracy and completeness and communicates with the manager, HR Generalist, or Recruiter for corrections when needed.
    • Responsible for creation of ad hoc reports as requested by management and maintenance of custom reports within the HRIS. Creates and exports regular and ad-hoc HRIS reports as requested from managers and employees throughout the company, including recurring reports.
    • Responsible for HRIS integration implementation, upkeep, updates, and troubleshooting. Review's weekly integration run reports and investigates and resolves errors communicated by the system and/or vendors. Initiates annual recurring integration run schedules.
    • Completes regular audits of HR database data for accuracy as they relate to the HRIS system. Works with the HR Generalist - Benefits & Compensation to resolve discrepancies.
    • Responsible for the development and execution of new hire HRIS basic training.
    • Responsible for processing of all bi-weekly and off-cycle payrolls, including all post payroll recording and reporting tasks (401k contributions, HSA contributions, Shareworks tax uploads, OSV reconciliations and communication)
    • Responsible for timely and accurate administration of weekly, monthly, and quarterly payroll SOX compliance controls related to payroll and time tracking.
    • Responsible for timely (no later than end of same day and preferably immediately upon receipt) response to action items and tasks and employee inquiries related to payroll, direct deposits, timesheets and time tracking, and HR systems requests and troubleshooting (including but not limited to Workday, Awardco, Cornerstone on Demand, HR Database, SharePoint, and all other current or future implemented systems)
    • Researches and completes new company registrations with state agencies for payroll taxes and closes unneeded accounts in a timely manner.
    • Communicates any and all payroll tax notices with Payroll TPAs. Researches and resolves all agency communications and tax discrepancies.
    • Reviews OSV quarterly tax reconciliations for accuracy and processes all needed adjustments and corrections in payroll to bring HRIS into alignment with payroll TPA system.
    • Calculates employee payment portions during FMLA/STD and ensures collection of premiums in arrears. Works directly with employees to make comfortable arrangements for the collection of outstanding premiums due upon employee's return from leave.
    • Under the assistance of Associate HR Manager, responsible for revision and upkeep of the HR Payroll Operating Manual, and HRIS training material.
    Secondary functions:
    • Responsible for bi-weekly content upload to HR SharePoint.
    • Collaborates with the Global HR Team in Germany to align all processes globally.
    • Assists the department with event planning and creation.
    • Participates in HR specific projects as needed.
    • Reviews and provides input and edit suggestions for employee handbook updates annually. Distributes Employee Handbook for review and signatures annually.
    • Assists the associate HR Manager during annual 401k Audits.
    • Assists the HR manager with implementation of various HR electronic systems and tools, including the onetime project of physical time-clocks.
    • Serves as backup for compensation and benefits, and aids during high workload periods such as year-end budgeting and January 1st salary increases.

    Work environment:

    This is a sedentary position (at least 50% of time) in a typical office environment. There may be frequent interruptions with moderate noise levels and frequent use of printers, copiers, scanners, computers and other office equipment. Ability to sit, talk, walk, hear and communicate verbally and in writing is required. Occasional lifting of objects up to 25 lbs is expected.

    Physical demands:

    • Near Visual Acuity - clarity of vision at approximately 20 inches or less (working with small objects, reading small print, including the use of computers).

    • Sitting - remaining in a sitting position for at least 50% of the time.

    Travel required:
    • Very rarely - may require to travel domestically or internationally once per year.
    Required education and experience:
    • Bachelor's degree or equivalent work experience.
    • Minimum 2 years' experience in payroll compliance and processing.
    • Minimum 2 years' experience as an HRIS Administrator or similar role.
    • Minimum 1 year of hands-on experience with databases and HR software.
    • Basic knowledge of pay, labor, and data protection legislation and regulations.
    • Advanced and immediately able to demonstrate technology user (Microsoft Office, ATS, HRIS, databases).
    Preferred education and experience:
    • Technologically savvy (advanced Excel knowledge).
    • Previous experience with HRIS implementation and troubleshooting preferred.
    • SHRM-CP Certified.
