Secretarial Responsibilities:
1. Support Attorneys as needed – typing, digital dictation, research, etc.
2. Backup Support for Staff during Vacation.
3. Save Scan Files and Documents to Netdocs/SQL Database including Trust Statements & Tax Returns.
4. Print all A/P Checks for the Trust Department.
Re-File Client Paper Files and Documents in File Room.
Responsible for processing all 706 Estate Tax Returns.
Responsible for all activity related to a specific high maintenance client.
Responsible for retrieving files from storage – New Office Mezzanine Floor in building.
Sort and Deliver Mail to Staff.
Deliver Fed Ex and UPS packages to Staff.
Print Labels for Will Envelopes.
Prepare Nightly FedEx/UPS Packages & Labels for Clients.
Post Nightly Mail through & Record (if applicable) on B&R Expense Register. Include Certified Mail.
Set up Will Envelopes per Attorney Requirements.
Billing:
Enter Timesheets for attorneys (daily, weekly) into time and billing program (TABS).
Enter Costs (Photocopies, Postage) weekly/monthly from staff into time and billing program (TABS).
Open/Inactivate new clients/matters in Time and Billing Program and coordinating SQL Program (TABS/SQL).
Enter Contacts in TABS from SQL.
Run Conflict Checks for new clients and matters.
