    Job Overview:

    The position will work as a member of the Business Development Team with minimal supervision. They will oversee all display material creation, shipping, and proper storage of related materials. All materials are determined in collaboration with the marketing team and will include, but not be limited to, booth structure, content, supplies, collateral, swag, etc. This role is ideally suited for someone with prior conference/trade show management or relatable experience.

    Duties & Responsibilities:


    • Maintains conference and booth vendor relationships


    • Project manager for all booth manufacturing needs


    • Collaborates with the marketing team to develop all booth materials, including communicating content deadlines and collateral ordering needs when appropriate


    • Organizes and maintains booth equipment and shipping materials as required


    • Organizes and maintains booth collateral at par across business locations both domestic and international


    • Coordinates and manages all booth shipping logistics, including updating and tracking the progress of all items


    • Creates booth material and shipping tour calendar


    • Processes conference exhibitor manuals


    • Adds information from exhibitor manuals to internal data sheets and shares with appropriate internal and external teams


    • Orders electrical, carpet, furniture, etc. for all conferences when appropriate


    • Uploads COI to exhibitor portals


    • Processes booth-related invoices


    • Uploads booth-related receipts and memos to expense tracking system


    • Provides continuous improvement and enhancement to processes and workflows


    • Works independently as well as with direction from supervisor


    • Performs other duties as required or assigned

    Experience Requirements - Knowledge, Skills, & Abilities (KSAs):


    • Bachelor's Degree required with a minimum of 2-3 years of directly relatable experience in either conference/trade show management or other applicable fields with transferrable experience.


    • High attention to detail


    • Strong organizational skills with a demonstrated ability to keep multiple projects on track simultaneously


    • Microsoft Office proficiency


    • Ability to thrive in a fast-paced entrepreneurial environment


    • Strong verbal and written communication skills


    • Team player with an enthusiastic and collaborative approach


    • Minimal travel as needed to support group operations


    • Freeman, GES, or another exhibitor portal knowledge a plus


    • Project management experience a plus


    • Invoicing experience a plus
